This is a full-time, temporary on-site role based in London for a Legal Assistant.

  • Maintain and update the firm’s contracts tracker, ensuring all contracts data is accurate, up to date and easily accessible.
  • Monitor contract milestones, expiry dates, renewal windows and notice periods, flagging upcoming deadlines to the Contracts Manager in a timely manner.
  • Manage the end-to-end signature process for contracts, including circulating documents for execution via AdobeSign, tracking outstanding signatures and maintaining a complete executed contracts repository.
  • Support the onboarding process for new clients, including preparation and coordination of required contractual documentation.
  • Liaise regularly with the Finance teams to ensure the contracts tracker reflects current billing arrangements, fee structures and contract values that have been agreed.
  • Provide general administrative and legal support to the Contracts Manager across all aspects of contracts function.
  • Manage the Legal Contracts inbox, triaging and directing correspondence to the appropriate teams.
  • Review incoming non-disclosure agreements (NDAs) against FGS’s standard positions, escalating material deviations to the Contracts Manager.
  • Assist with the preparation and negotiation of NDAs and other legal documents.
  • Draft and prepare standard form contracts, addendums and amendments.

Qualifications

  • Typically, 2-3 years of experience as a Legal Assistant/Legal Secretary or in a comparable role.
  • Proactive in identifying gaps, inconsistencies or risks in contracts or trackers, and taking appropriate action to resolve them.
  • Confident communicator, able to liaise effectively with internal teams including finance, account teams and senior stakeholders.
  • Strong client service oriented, with a professional and responsive approach to internal and external requests.
  • Highly organised, with the ability to manage multiple workstreams, track numerous contracts simultaneously and meet competing deadlines without compromising accuracy.
  • Able to absorb information quickly and convey findings into clear written or verbal communications.
  • Takes initiative to identify and resolve issues, escalating to the Contracts Manager where appropriate.
  • Thinks creatively when faced with unfamiliar contract situations or process challenges, seeking practical solutions within appropriate boundaries.
  • Advanced proficiency in Microsoft Office, particularly Word (including Track Changes), Excel and Outlook.
  • Continually seeks to broaden knowledge of contracts, legal processes and the professional services environment.
  • Strong attention to detail, particularly when reviewing legal documents, tracking contract milestones and reconciling financial data.
  • Experience reviewing and drafting routine legal documents under supervision.
  • Familiarity with NDAs, framework agreements and standard professional services terms.
  • Familiarity with contract management systems or CRM platforms; is an advantage.
