We are looking for a organized and tech-savvy Legal Administrative Assistant to join our growing team.
In this role, you’ll support our legal team by managing core office operations, preparing key legal documents, running digital signature workflows, and helping manage our social media presence.
Job Summary
The Legal Administrative Assistant plays a vital role in supporting the daily operations of the legal team. This position is responsible for high-precision document formatting, streamlined digital signature workflows, spreadsheet data management, professional social media engagement, and routine office support to ensure seamless daily administration.
Key Responsibilities
- Document Creation & Formatting (Microsoft Word): Draft, format, and proofread legal correspondence, pleadings, agreements, and contracts. Maintain strict adherence to legal typography, styles, and template standards.
- E-Signature & Workflow Management (DocuSign): Prepare, send, and track legal documents, agreements, and client onboarding packages using DocuSign. Ensure proper routing, completion, and secure archiving of signed records.
- Data Management & Reporting (Microsoft Excel): Maintain and update spreadsheets for tracking billable hours, client intake registers, expense reporting, vendor lists, and key legal operations metrics using formulas and structured data tables.
- Digital Presence & Social Media: Schedule and publish firm announcements, legal updates, article highlights, and event coverage across professional platforms (such as LinkedIn and Twitter/X) in alignment with brand guidelines and legal compliance.
General Office Administration:
- Manage incoming and outgoing mail, courier services, and deliveries.
- Greet visiting clients, answer central phone lines, and route inquiries to appropriate personnel.
- Coordinate meeting logistics, conference room scheduling, and client hospitality services.
- Order and maintain inventory levels for general office, kitchen, and legal printing supplies.
- Organize and maintain both physical file archives and digital directory systems in compliance with records retention policies.
Qualifications & Requirements
- Education: High School Diploma required; Associate or Bachelor’s degree in Business Administration, Legal Studies, or a related field preferred.
- Experience: 1 to 3 years of administrative experience within a law firm or professional services environment.
Technical Proficiency:
- Microsoft Word: Advanced proficiency in styles, track changes, document layout, tables of contents, and legal formatting.
- DocuSign: Hands-on experience setting up signing orders, field tags, templates, and managing envelope status.
- Microsoft Excel: Intermediate proficiency with formulas (e.g., VLOOKUP, SUMIF), data filtering, sorting, and spreadsheet management.
- Social Media Management: Experience creating and scheduling professional updates using social media platforms or management tools.
- Key Competencies: Strong attention to detail, excellent written and verbal communication skills, multi-tasking ability, and strict commitment to client confidentiality and data security.
