Overview
Ecommerce Shoot Production Executive – 9 Month Fixed Term Contract at F&F Clothing. We are looking for a highly organised and detail-driven E-Comm Shoot Production Executive to support the delivery of e-commerce photography and video content. Reporting to the Shoot Production Manager, you will coordinate samples, maintain trackers, and ensure e-commerce imagery is delivered on time, to brief, and to a high standard.
This role requires meticulous attention to detail and excellent communication across buying, merchandising, and our production agency.
You will be responsible for
- Sample & Product Management
- Manage the complete lifecycle of samples: request line lists from buyers, track product, collate, and ensure prompt return to buying teams.
- Work closely with buyers and merchandisers to ensure all product and sample data is accurate and sent from suppliers on time.
- Manage shoot production timing plan.
- Maintain sample trackers and critical paths to support accurate reporting and workflow planning.
- Oversee smooth product handovers from the buying team to agencies.
- Data, Tracking & Reporting
- Own and manage all key production trackers using our Let’s Flo.
- Produce regular reporting on sample status, shoot progress, and delivery timelines for the Shoot Production Manager and wider stakeholders.
- Analyse production data to identify risks, delays, or opportunities to improve efficiency.
- Ensure all shoot and sample information is accurately logged and easily accessible.
- Shoot Production
- Support the Shoot Production Manager on set, acting as the first point of contact for all sample and product queries.
- Maintain and update the master shoot schedule, ensuring all deadlines are met and risks are flagged early.
- Drive shoot day efficiency by anticipating potential blockers and problem-solving in real time.
- Process & Quality Control
- Maintain and regularly update the “shoot bible” with shot lists, styling notes, and agency information.
- Mark up and communicate retouching notes to support post-production.
- Support sign-off process, ensuring all imagery meets brand and quality standards before publishing.
- Collaboration & Communication
- Work closely with cross-functional teams (buying, merchandising, trading) and external agencies to ensure smooth co-ordination.
- Be available on-site in London 5 days a week and travel to Welwyn as needed to collaborate with buying and product teams.
You will need
- Proven experience in e-commerce production, fashion shoot co-ordination, or a similar operational role.
- Advanced Excel skills — confident working with large data sets, formulas, and trackers.
- Excellent numerical and analytical skills to manage reporting and critical paths.
- Strong organisational and time management skills with the ability to prioritise multiple tasks.
- Clear and confident communicator, capable of liaising effectively across internal teams and external partners.
- Detail-oriented, with a process-driven mindset and a passion for accuracy.
- Flexible and willing to work across London and Welwyn to support production requirements.
