About this Role
As the first point of contact for clients and visitors, you’ll be the face of JCF Property Management – ensuring the office runs smoothly while supporting the Property Management Team in the day-to-day running of our residential portfolio.
Main Duties and Objectives
Front-of-House / Administrative Responsibilities
- Greet visitors and clients, ensuring a professional and friendly first impression.
- Handle incoming calls and emails, directing queries to the appropriate team members.
- Manage incoming and outgoing post, deliveries, and office supplies.
- Maintain accurate records and assist with data entry, filing, and document management.
- Coordinate key management and contractor access.
- Support the Accounts team with basic administrative tasks.
- Assist with mail merges, proofreading, and preparation of correspondence.
- Help prepare meeting rooms and provide general office support to ensure smooth daily operations.
Assistant Property Management Responsibilities
- Support Property Managers with the management of residential leasehold properties.
- Maintain accurate property, client, and contractor databases.
- Respond to leaseholder and client queries via phone and email, escalating where necessary.
- Assist in preparing management reports, agendas, and minutes for meetings (AGMs, EGMs, resident meetings).
- Log and monitor repairs via Fixflo, liaising with residents and contractors for updates.
- Help administer service charge budgets, contractor invoices, arrears, and financial documentation.
- Assist with Health & Safety compliance, risk assessments, and record maintenance.
- Prepare and issue routine communications to residents (letters, notices, newsletters).
- Support in onboarding new developments and maintaining accurate records of insurance and certifications.
- Accompany Property Managers onsite inspections as required and produce follow-up reports.
Who You Are
- Highly organised, detail-oriented, and proactive in managing multiple tasks.
- A confident communicator, both verbally and in writing.
- Professional and courteous, with a positive and approachable manner.
- Skilled in Microsoft Outlook, Word, and Excel (experience with Qube or Fixflo is a plus).
- Interested in developing a career within property management.
- Able to work well both independently and as part of a team.
