The Client Portfolio Regional Manager is responsible for the strategic and operational oversight of a regional portfolio of freehold and residential developments, acting as the senior relationship lead for key clients while managing and developing a team of Property Managers.
The role combines high-level client relationship management, operational leadership, compliance oversight, financial performance, and people management to ensure exceptional service delivery across the portfolio. The successful candidate will drive consistency, accountability, resident satisfaction, statutory compliance, and commercial performance while supporting the wider business objectives.
Main Duties and Objectives
- Client Relationship Management
- Act as the primary senior contact for key freehold clients.
- Build and maintain strong long-term client relationships through proactive communication and strategic engagement.
- Attend and lead client review meetings where required.
- Provide strategic advice to clients on portfolio performance, risk management, compliance obligations, and operational improvements.
- Ensure all client KPIs, contractual obligations, and service standards are achieved.
- Identify opportunities to enhance client retention, service delivery, and portfolio growth.
- Manage escalated client concerns, complex complaints, and sensitive resident issues professionally and effectively.
- Support business development opportunities and contribute to client tenders and mobilisation processes.
- Portfolio Oversight
- Oversee a regional portfolio of residential and mixed-use freehold developments managed by the team.
- Ensure developments are managed in accordance with leases, legislation, company procedures, and industry best practice.
- Monitor service delivery standards across all sites, ensuring a consistent customer experience.

- Oversee mobilisation and demobilisation of developments within the portfolio.
- Support operational planning and resource allocation across the region.
- Leadership & Team Management
- Lead, manage, mentor, and develop a team of Property Managers and support staff.
- Conduct regular one-to-one meetings, performance reviews, and development planning.
- Drive accountability and performance management across the team.
- Support recruitment, onboarding, and retention of high-performing team members.
- Provide technical guidance and operational support on complex property management matters.
- Promote a collaborative and positive team culture aligned with company values.
- Identify training and development needs within the team.
- Ensure workload distribution is balanced and effective.
- Financial Management
- Oversee the financial performance of the regional portfolio.
- Ensure service charge budgets are prepared accurately and issued within required timeframes.
- Monitor expenditure against budgets and challenge variances where appropriate.
- Support Property Managers in reviewing contractor specifications, procurement exercises, and major works projects.
- Ensure financial controls and governance procedures are followed.
- Review aged debt, arrears recovery processes, and client reporting.
- Assist clients with long-term asset planning and reserve fund forecasting.
- Contribute to regional profitability and commercial performance targets.
- Compliance & Risk Management
- Ensure all developments within the portfolio remain compliant with relevant legislation and regulatory requirements.

- Work closely with internal health & safety and building safety teams to monitor actions, risks, and remedial works.

- Operational Excellence
- Drive continuous improvement initiatives across the portfolio and team.
- Implement and monitor operational processes, controls, and reporting standards.

- Promote efficient working practices and use of technology platforms.

Skills & Experience Required
Essential Skills
- Significant experience within residential block or freehold property management.
- Experience managing key client relationships and complex portfolios.
- Proven leadership and people management experience.
- Strong understanding of residential leasehold and freehold management.
- Excellent knowledge of service charge budgeting and financial management.
- Strong understanding of health & safety and statutory compliance requirements.
- Excellent communication and stakeholder management skills.
- Ability to manage multiple priorities and work under pressure.
- Commercial awareness with strong problem-solving abilities.
