We are seeking a highly organised, proactive and detail oriented Personal Assistant to provide comprehensive support to the Senior Leadership Team. The successful candidate will play a key role in ensuring the smooth day to day running of executive operations including coordinating travel, organising events and handling general office administration.
Key Responsibilities
- Provide high level administrative support to the Senior Leadership Team
- Manage complex calendars, appointments, and meeting schedules
- Prepare documents, reports, and presentations as required
- Act as point of contact between the Senior Leadership Team and internal/external stakeholders
- Co-ordinate cross departmental activities and ensure alignment
Event Coordination
- Plan, organise, and coordinate internal and external events, meetings and conferences
- Manage event logistics including venue sourcing, catering and materials
- Ensure events run smoothly and within budget
- Handle post event follow ups and evaluations
Travel & Accommodation Management
- Arrange domestic and international travel including flights, visas and itineraries
- Book hotels and manage accommodation requirements
- Prepare detailed travel schedules and briefing documents
Office Administration
- Manage general office administrative duties including being the first point of contact for visitors, processing incoming post and coordinating office moves where required to ensure efficient operations
- Maintain filing systems, records and databases
- Manage office supplies and liaise with vendors and service providers
- Co-ordination of Occupational Health & Safety records
Key Skills & Experience
- Proven experience as a Personal Assistant, Executive Assistant or similar role
- Exceptional organisational and time management skills
- Strong attention to detail and ability to multi-task
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Power BI would be advantageous
- Ability to handle confidential information with discretion
- Strong problem solving skills and proactive approach
