About the Company:

Due to continued growth, they are now seeking an organised and proactive Office Administrator to join their close-knit team based in the office.

The Role:

As the Office Administrator, you will be the backbone of the office, ensuring day-to-day operations run smoothly. You will work closely with the management team, project managers, and tradespeople to coordinate premium decorating projects and maintain excellent client relationships.

Key Responsibilities:

  • Customer & Client Relations: Acting as the first point of contact for incoming phone calls and emails, handling enquiries from high-end residential clients with professionalism.
  • Project Scheduling: Coordinating diaries for decorators and project managers, booking site visits, and scheduling upcoming works.
  • Invoicing & Quotes: Assisting with the preparation and sending of client quotes, processing invoices, and tracking project expenses.
  • Supplier Coordination: Ordering materials, paints, and equipment, and managing relationships with key suppliers.
  • General Administration: Managing incoming/outgoing post, filing, updating the internal CRM/database, and ensuring the office environment is organised and efficient.

What We Are Looking For:

  • Experience: Proven experience in an office administration, coordination, or secretarial role. Experience within the construction, property, trade, or interior design sectors is a distinct advantage but not essential.
  • Communication: Exceptional verbal and written communication skills with a polished, professional telephone manner.
  • Organisation: Superb organizational and multitasking skills with strong attention to detail.
  • IT Skills: Highly proficient in Microsoft Office (Word, Excel, Outlook). Experience with accounting software (like Xero or QuickBooks) or scheduling software is highly desirable.
  • Attitude: A proactive, self-motivated individual who enjoys working in a small, dynamic team and can work independently.
