Licensing Operations and Compliance Coordinator

Company: Festival Republic (part of Live Nation Entertainment)

Location: Farringdon, London – substantial on‑site time during the summer festival season (≈4 weeks per show).

Reports to: Event Manager

Contract type: 12‑month fixed term

Working hours: Part‑time (24 hrs week) moving to full‑time (40 hrs week) April‑September, with extra weekend work during the festival season. On‑site hours 8 am – 8 pm.

Role description: The Licensing Coordinator is a key member of the planning team, ensuring licence compliance, liaising with statutory and non‑statutory agencies, and supporting event management across Festival Republic shows.

Responsibilities

  • Assist the Event Manager in planning event operations (welfare, medical, staffing, fire, traffic, signage, water safety, noise, alcohol compliance, H&S, security).
  • Write and update the Event Management Plan and related documents.
  • Maintain compliance with licensing and legal obligations, including action points from agency meetings.
  • Secure and liaise with local authority and agency partners (police, fire, ambulance, environmental health, licensing, building control, planning, Highways).
  • Apply for traffic regulation orders, footpath closures, and other necessary orders.
  • Coordinate and attend Safety Advisory Group meetings and agency meetings.
  • Implement policies, keep up to date with licensing developments, and ensure contractor and staff compliance.
  • Prepare and send confirmation letters, purchase orders, and health & safety paperwork.
  • Arrange CRB/PNC checks and ensure bar/trader/sponsor concessions comply with DPS contract and legislation.
  • Coordinate with local residents and parish councils on resident ticket pricing and communications.
  • Support PPL licence applications and PRS information gathering.
  • Submit film classifications to local authority and manage compliance.
  • Recruit and manage licensing office staff on‑site.
  • Assist with budget preparation and updating.
  • Maintain guest ticket database and prepare debrief reports.
  • Investigate and manage post‑festival complaints.
  • Complete ad‑hoc tasks as required.

Essential competencies and experience

  • Exceptional organisational and administrative skills.
  • Detail oriented, able to prioritise and meet deadlines.
  • Experience in event coordination, project administration, or rights‑license compliance.
  • Knowledge of health and safety, local authority licensing, and event management.
  • Ability to work under pressure and in a pressurised environment.

Desirable

  • Demonstrable experience with events.
  • Experience working with local authorities and agencies.
  • Excellent IT skills.
