Job Description
- Policies, Guidelines, and Protocols: Follow established policies, guidelines, and protocols for document control activities. Report any issues or inconsistencies to the senior management and suggest improvements based on practical experience.
- Document Control Advice: Resolve queries from internal or external customers or suppliers by providing information on complex processes and the related policies, referring to others where necessary for interpretation of policy.
- Document Management: Maintain the document management system to ensure accuracy, version control, and compliance. Regularly review and update the system.
- Budgeting: Prepare initial budget estimates for document control projects, gathering necessary financial data and cost information. Support in monitoring and reporting on budget performance.
- Insights and Reporting: Collect and analyze data on document control activities. Prepare reports that highlight key metrics and progress.
- Process Improvement: Support improvements in document control processes. Encourage a culture of continuous improvement.
- Team Support: Provide support to project teams in organizing and categorizing documents, tracking revisions, and ensuring efficient access to information. Foster effective communication and collaboration.
- Security Measures: Support the implementation of security measures for document control. Perform regular backups, assist in disaster recovery planning, and maintain archives of historical documentation.
- Relationship Management: Build effective working relationships within the internal client organization, delivering high-quality professional services with guidance from senior colleagues.
- Operational Compliance: Deliver audit assignments in nominated client areas. Develop individual audit plans and detailed scope, deliver the fieldwork, report findings and opinions, agree on corrective actions with auditees, and refer serious or contentious issues to the lead auditor.
- Organizational Capability Building: Develop own capabilities by participating in assessment and development planning activities as well as formal and informal training and coaching; gain or maintain external professional accreditation where relevant to improve performance and fulfill personal potential. Maintain an understanding of relevant technology, external regulation, and industry best practices through ongoing education, attending conferences, and reading specialist media.
