Provide high-quality administrative and front-of-house support for Ferrovial Construction UK’s Heathrow project.
Key Responsibilities:
- Manage room bookings for the project and any meeting requirements including IT and catering.
- Provide comprehensive facilities management service inclusive of ordering stationary, sorting post, stocking the kitchen, advising on car park spaces and couriers for internal and external visitors, general filing and ad-hoc admin duties.
- Management of office IT equipment such as printers and providing support and coordination of equipment for new starters and/or leavers.
- Provide administrative support to the management team upon request.
- Promote company values in all dealings with other employees, clients, subcontractors and other external contacts.
- Participate actively in the planning and execution of company events.
- Organise orientation and training of new staff members.
- Provide support to the engineering teams to file information into the available databases and ensure filing systems are maintained and current.
- Report office progress to senior management and work with them to improve office operations and procedures.
- Manage all deliveries.
- Act as a fire marshal and first aider for the office (attending relevant training).
- Provide all of the above for the different Ferrovial offices around Heathrow (Boiler house, Building 820, Wineglass, LCC3, Compass Centre and Europark).
- Help the Office Manager with any other tasks which may arise.
- Prepare all of the documentation required for Landside and airside passes, for people and vehicles.
- Support all of the tasks related to licensing and permits required to access and deliver works airside.
Key Accountabilities:
- Provide administrative support in a timely and accurate manner.
- Support site productivity and help ensure project activities are delivered on time.
- Communicate effectively with project teams and departments to support day-to-day operations.
- Assist with facilities management activities, including reception duties where required.
Skills and Competence:
- Strong administrative, organisational and time management skills, with excellent attention to detail.
- Excellent written and verbal communication skills.
- Strong IT skills, including proficiency in Microsoft Office applications, particularly Excel.
- Motivated to learn and contribute positively to the team.
- A collaborative team player who works effectively with others.
- Proactive and able to take initiative.
- Able to work under pressure and meet deadlines.
- Flexible, resilient and adaptable, with a positive approach to changing priorities.
Qualifications:
Hours: 40.5 per week - 4 days Office based / 1 day Working from home.
