We are seeking a knowledgeable Service & Parts Advisor to join our team. As a Fleet Service & Parts Advisor, you will be responsible for ensuring the smooth operation and maintenance of our company’s large fleet of vehicles. You will serve as the primary point of contact for fleet-related inquiries, scheduling maintenance and repairs, and coordinating with internal departments and external service providers to ensure timely and cost-effective solutions. You will provide expert guidance and assistance in procuring, managing and distributing vehicle parts and accessories.
Responsibilities
- Assist customers in identifying and sourcing the correct parts for their needs, providing expert advice and recommendations.
- Fleet Maintenance Coordination
- Schedule routine maintenance, inspections, and repairs for all fleet vehicles.
- Coordinate with technicians and service providers to ensure timely completion of maintenance tasks.
- Monitor service records and ensure compliance with preventive maintenance schedules.
- Prioritise maintenance needs based on vehicle usage, safety concerns, and operational requirements.
- Vehicle Diagnosis and Troubleshooting
- Assess vehicle issues reported by drivers and conduct initial diagnosis to determine the required repairs.
- Communicate vehicle diagnostics and recommended repair solutions to relevant stakeholders.
- Coordinate with Technicians to address complex or specialised repair needs.
- Parts Identification and Selection
- Identify the correct parts and accessories for our commercial vehicles.
- Utilize technical knowledge and parts catalogues to accurately determine the compatibility of parts with specific vehicle models and applications.
- Provide recommendations on alternative parts or aftermarket solutions when OEM parts are unavailable or cost prohibitive.
- Technical Assistance and Troubleshooting
- Offer technical guidance and support to internal stakeholders on parts installation, maintenance procedures, and troubleshooting techniques.
- Collaborate with technicians to diagnose complex parts-related issues and recommend appropriate solutions.
- Stay informed about industry trends, product developments, and best practices in commercial vehicle maintenance and parts procurement.
- Documentation and Reporting
- Maintain accurate records of fleet maintenance activities, including service history, repairs, and costs.
- Generate reports on fleet performance, maintenance expenses, and compliance with regulatory requirements.
- Assist the Workshop Manager to analyse data to identify trends, areas for improvement, and cost-saving opportunities.
- Order Processing and Inventory Management
- Receive and process parts orders, ensuring accuracy and completeness of information.
- Coordinate with suppliers and vendors to procure parts in a timely manner, negotiating pricing and terms as necessary.
- Maintain accurate inventory records, including stock levels, replenishment schedules, and part numbers, using computerized management systems.
- Maintain good working relationships with external service providers, including specialist automotive providers and parts suppliers.
- Safety and Compliance
- Ensure fleet vehicles comply with regulatory requirements, including emissions standards, safety inspections, and licensing.
- Implement and enforce safety protocols and procedures for vehicle operation and maintenance.
Qualifications
- Technical or manufacturer training is an advantage but not essential.
- Proven experience in fleet management, automotive repair, or a related field.
- Good knowledge of maintenance procedures.
- Excellent organisational and communication skills.
- Proficiency in computerised maintenance management systems and/or fleet management software.
- Ability to multitask, prioritise workload, and work effectively under pressure.
- Attention to detail and commitment to accuracy in record-keeping and documentation.
- Flexible approach to work to accommodate fleet maintenance needs and emergency repairs.
- Valid UK full driver’s license and no more than 6 penalty points.
