Due to business demands, we have an opportunity for a Port Receptionist / Office Administrator to join our team at Kishorn Port.
The successful applicant will support our port administration team to ensure the smooth day to day running of the office. We offer flexible working arrangements. The hours for this role are 35 hours per week and we are open to discussing working hours to suit individual circumstances.
Main responsibilities will include (list not exhaustive):
- Manage site visitor reception including visitor inductions, ensuring all visitors have appropriate PPE and arranging refreshments as required
- Managing goods inward
- Answering, screening & forwarding phone calls to the port and co-workers
- Monitoring, recording and reordering on-site supplies including stocks of fuels and oils
- Submit daily trailer stock updates for the Traffic team
- Taking bookings and dealing with arrangements for plant hires to 3rd parties or tenants β providing supporting documentation as needed
- Support the Port Project Administrator with capturing project and operational costings and arranging operational task quotations to port clients
- Collate & submit weekly port team working hours
- Maintain port team annual leave records
- Communicating and compiling arranged team weekly on-call rotas
- Coordinate meeting bookings and organise meeting room facilities
- Provide Port administrative cover as required.
The successful candidate should have:
- Previous experience within an administrative role (desirable, full training will be provided)
- Excellent telephone manner
- Good written and verbal communication skills, ensuring attention to detail and accuracy
- Organisational skills with the ability to work within a time sensitive environment
- Good IT skills, particularly Microsoft Office.
- A valid driving licence
