The Fergus Falls School District is seeking to fill a Counseling Office Assistant position at Kennedy Secondary School for the school year. This position is part of the custodian/secretary contract and is scheduled for 193 days/year. The wage range for this position is $ /hour (based on the wage schedule) and the benefit package includes contributions towards health insurance, life insurance, long-term disability insurance, 403b, pension plan and both sick and personal leave.

Position Summary

Fosters a welcoming and supportive environment within the counseling office, serving as an approachable resource for students, staff, and families. This role manages the administrative operations of the counseling office to ensure it remains an integral part of the secondary school, while overseeing the coordination, billing, and communication for district-wide facility scheduling.

Qualifications

  • High school graduate with two years of college or tech courses preferred
  • Highly skilled in computer usage and various computer programs
  • Demonstrated interest and aptitude for work to be performed
  • Such alternative to the above qualifications as the board may find appropriate and acceptable

Performance Responsibilities

  • Oversee reception area including:
  • Schedule appointments for students, parents, staff, coordinating master appointment calendar for secondary counselors, etc.
  • Write student passes
  • Supervise students
  • Maintain handouts, scholarship information, career center information, college applications, bulletin boards, etc.
  • Answer and route phone calls to the secondary counseling office
  • Assist with requesting and managing information from students newly enrolled or withdrawing, as well as confidentiality control on all student records.
  • Working knowledge of student registration within the student reporting software (Synergy) and generating report cards to utilize as needed.
  • Contact parents as necessary with weekly progress reports, registration notices, etc.
  • Accept identifying information from newly enrolled students.
  • Process transcripts for current students and alumni:
  • Graduation verification with outside agencies
  • Process transcript requests for FFHS, iQ Academy & Area Learning Center
  • Process transcript requests through Parchment
  • Work with college admission representatives and military recruiters to schedule visits in the counseling office.
  • Assist with testing that is facilitated by the secondary counselors, including but not limited to PSEO testing, ACT testing, AP testing, PSAT testing.
  • Organize Career Fair:
    • Assist with the Career Fair planning process throughout the school year.
    • Work closely with Community Ed, Greater Fergus Falls, FF Chamber, and College and Military Staff representatives in planning the event.
    • Work with the Principal to create personal schedules for 700+ students.
    • Responsible for social media notification.
    • Prepare the annual high school graduation newsletter.
    • Scheduling of all school facilities, including making all of the necessary communications and arrangements. Provide billing information to accounts receivable.
  • Assist Counselors and principal with high school registration:
    • Organize and distribute registration packets to students in grades 8-11
    • Collect and organize completed registration forms for the counselors
    • Career and College Readiness reports
    • High School Concurrent Coordinator for U of M – Crookston
    • Register students in the UMC MyU system.
    • Communicate with UMC Registrar, students, counselors, and concurrent staff when enrolling and withdrawing students from those courses
  • Organization of year-end File Room
  • Receive case manager changes for 504 students in SPED forms.
  • Communication / Social Media
    • Update and monitor portions of the Fergus Falls Public School District website and Facebook page
    • Maintain and update the KSS Counseling Department website; all KSS Counseling social media accounts
