The role of Deputy Practice Manager requires a self‑motivated, disciplined individual to lead and manage all front‑of‑house and patient‑facing services within the practice. This role focuses on delivering an excellent patient experience, ensuring efficient access to care, and supporting reception and administrative teams to operate effectively. You will work closely with the Practice Manager to ensure smooth day‑to‑day operations, high service standards, and a positive environment for staff and patients. The successful candidate will have experience in a fast‑paced office environment, have excellent IT skills, experience using Systmone clinical system, and can demonstrate good customer service skills.

Job responsibilities

  • Line management of the reception, secretarial and administration staff
  • Dealing with any escalated patient or reception queries
  • Production of agreed rotas
  • Conducting staff appraisals for the reception team, recording sickness, approving and recording annual leave of reception/admin teams
  • Ensuring the rotas are uploaded to the clinical system
  • Ensure that tasks on the clinical system are dealt with efficiently and within a timely manner
  • Monitoring of appointment availability and altering the clinical system to ensure capacity meets demand
  • Resolve problems/complaints with staff and patients and elevate to the Practice Manager as and when appropriate
  • Responsible for completion of the monthly PPA immunisation claims
  • Responsible for in‑house recall system
  • Responsible for summarising of records
  • Responsible for managing GPR/F2/Students
  • Lead on improvement
  • Lead on IT/Digital services
  • Information Governance Lead

Qualifications

  • Experience working in primary care.
  • Experience managing reception or administrative teams.
  • Strong communication and interpersonal skills.
  • Ability to manage difficult conversations and patient concerns.
  • Strong organisational and problem‑solving skills.
  • Ability to prioritise workload and lead under pressure.
  • Experience improving patient access or service delivery.
