We are on the hunt for a new Studio Support Assistant to join our London Studio. This is an opportunity to flex those people skills as you will be part of our front of house support team sitting on our reception welcoming our employees and visitors. As well as carrying out general reception duties including answering incoming calls, welcoming guests, overseeing meeting and room bookings, this role also allows for further studio support including stock management, helping our Comms team with events and exhibitions being held in the Studio and helping prep our coffee and tea times during the day.

Areas of responsibility
  • Greet and welcome all visitors to our London Studio providing excellent customer care
  • Answering telephone calls politely, quickly and in a professional manner, screening and directing calls, passing on messages promptly and accurately
  • Overseeing meeting room bookings in advance, to ensure a smooth experience for all attendees, including refreshments and liaising with IT team about room AV equipment required
  • Distributing and maintaining stock levels – office supplies, milk, kitchen cleaning products, toilet supplies, towels etc
  • Management of the London general inbox, filtering emails and forwarding to the relevant people
  • Reconciling credit card statements with receipts of Studio expenses and liaising with the Finance team
  • Organising and franking all outgoing mail and ensuring all post is sent on time by appropriate method (general, registered or couriered)
  • Liaising with the Creative Producer and the Comms team to provide information to visitors about temporary exhibitions and upcoming events
  • General secretarial duties; photocopying, scanning, archiving of work in an accurate manner
  • Ensure the kitchens, meeting rooms and public areas are kept clear and presentable
About you
  • 1 - 2 years relevant experience either as a Receptionist or Office Assistant or similar
  • A people person! Welcoming, friendly and enthusiastic
  • Professional, polite and confident telephone manner
  • Excellent organisational skills and communication skills, both written and verbal
  • Excellent interpersonal skills with the ability to build effective working relationships with all levels of the Practice
  • Ability to work well within a team and also independently
  • Demonstrates initiative, resourcefulness and proactivity in approach to daily tasks whilst working within the agreed procedures
  • A background of working in a creative or architectural environment would be an advantage

Due to the nature of the role, it is fully office-based working from Monday-Friday 8.30am – 5.30pm.
