We have a great new opportunity for a Project Coordinator to join us on a 12-month fixed term basis based in our Bath studio. You will work collaboratively across our practice, working flexibly with our Project Architects, Partners and Associates and their teams on a range of architectural, master planning and urban design projects. You will play a vital role in ensuring the projects run smoothly, are well organised and efficient, providing support in project administration and document control. You will also have the opportunity to support the Studio Manager and Receptionist on activities that ensure the smooth day‐to‐day running of the Bath studio. This is a full‐time position of 37.5 hours per week. We offer the opportunity of hybrid working once you have settled into the role.
Areas of Responsibility
- Project Administration and Document Control
- Support assigned projects to ensure compliance with FCBStudios Practice and Project Procedures, ISO standards and WREN guidance.
- Manage accurate and timely registration, filing, distribution and tracking of all project documentation (drawings, reports, specifications, schedules, RFIs, submittals) using Newforma, project CDE platforms and common data environment, ensuring preservation of all revisions and version control.
- Coordinate document issuance workflows including QA checking for inconsistencies, preparing documents for release, uploading/downloading from CDE platforms, and liaising with external document controllers to resolve technical issues.
- Maintain project document control guides, support teams with documentation retrieval, attend project meetings as required, and promote FCB quality procedures and information management protocols while maintaining confidentiality.
- Assisting with stage outputs and project tasking, such as preparing presentations, stage reports, design and access statements and planning applications when necessary.
- Providing Drawing Management support to all Group Projects by collating and printing Drawings for Internal and external review/comment (Inc. Scanning outgoing mark‐up drawings, using Microstation and filing all hard copies).
- Work closely with the Studio and QA Manager to improve document control procedures and develop best practice templates for future use.
- Assisting Group Leader/Partner and BID Manager in preparing BID information (Inc. collating materials for pre‐qualification and tender documents; layout, edit and production of bid documents, proofreading and organisation of external printing and couriers).
- Provide telephone back‐up to Reception and assist the Front of House Team when required.
- Provide support when required to ensure the smooth running of the Bath studio which may include restocking supplies and other similar general office duties.
- Provide ad hoc administrative and organisational support to senior partners when required.
About You
- Proven experience in project administration or document control, ideally within architecture, construction, or the built environment sector.
- Strong organisational skills with exceptional attention to detail and ability to manage multiple projects simultaneously while meeting deadlines.
- Proficient in document management systems and CDE platforms (experience with Newforma highly desirable).
- Excellent IT skills including Microsoft Office suite (Word, Excel, PowerPoint); CAD software knowledge (MicroStation or similar) desirable.
- Strong written and verbal communication skills with ability to liaise effectively with internal teams, clients, and external consultants.
- Proactive, solutions‐focused approach with ability to work independently and as part of a team.
- High level of discretion and ability to handle confidential information appropriately.
