Duties & Responsibilities
Calendar Management: Schedule meetings, appointments, and events for the executive, ensuring efficient use of their time.
Email Management: Sort, prioritise, and respond to emails on behalf of the executive, and draft emails as needed.
Travel Arrangements: Plan and coordinate travel itineraries, including booking travel, accommodations, transportation, and preparing travel documents.
Meeting Coordination: Arrange and prepare materials for meetings, take minutes, and follow up on action items.
Document Preparation: Draft and format documents, reports, presentations, and correspondence.
Data Entry and Database Management: Maintain and update databases, spreadsheets, and records.
Phone and Voicemail Management: Answer and screen calls, take messages, and manage voicemail.
Office Organisation: Maintain office supplies, manage filing systems, and ensure a tidy workspace.
Research: Conduct research on various topics, gather information, and provide summaries or recommendations.
Project Support: Assist with project management tasks, such as tracking progress, setting deadlines, and coordinating team efforts.
Expense Management: Track and reconcile expenses, prepare expense reports, and ensure compliance with budgetary guidelines.
Client and Stakeholder Relations: Communicate with clients, vendors, and stakeholders, handling inquiries and maintaining relationships.
Event Planning: Organise company events, conferences, and workshops, including logistics and coordination.
Personal Tasks: Handle personal errands and tasks for the executive, scheduling appointments, and managing personal calendars.
Technology Assistance: Troubleshoot technical issues, set up meetings via video conferencing tools, and assist with software and hardware-related tasks.
Post Jobs and Set Up Interviews: You will post job vacancies on suitable boards and platforms, and schedule interviews once suitable candidates have been identified.
