Fixed Term Contract covering Maternity Leave
Start 15th June for 10 months
Part time - Monday to Thursday - 9am to 5pm
Working from home but must live in Solihull area or close proximity as there is a requirement to attend meetings in Solihull, will also be required to go to London minimum once a week (car share with MD).
You will be known within the business for your communication, organisation, and efficiency. You will be an experienced and motivated PA with strong organisational skills and an understanding of business operations to support our business and ultimately our clients.
Role Requirements- The postholder must possess strong organisational and communication qualities, analytical skills, thrive under pressure, have great people skills.
- You will act as the point of contact among executives, employees, clients, and other external partners.
- Manage information flow in a timely and accurate manner.
- Manage the MD’s calendars to coordinate / set up meetings and appointments.
- Answer and direct phone calls.
- Manage the MD’s email inbox and responses including responding on behalf of the MD where required.
- Determine which emails and calls need to reach the MD and which do not.
- Make travel and accommodation arrangements.
- Collate content from participants to create meeting agendas.
- Track and submit expenses.
- Prepare reports and presentation slides as required.
- Format information for internal and external communication – memos, emails, presentations, reports.
- Take, distribute, and file minutes during meetings.
- Organise and maintain the MD’s filing system.
- Manage the Document Management System.
- Work experience as a Personal Assistant, or similar.
- Excellent MS Office knowledge, particularly Excel.
- Outstanding organisational and time management skills.
- Familiarity with office technology and IT applications.
- Excellent verbal and written communications skills.
- Discretion, confidentiality, and reliability.
