Responsibilities:
- Register, file, track, and archive incoming and outgoing documents, including drawings, specifications, correspondence, and reports.
- Develop and maintain a document transmittal system for all correspondence.
- Co‐ordinate with business development, planning, and finance departments to ensure timely submission, review, and distribution of documents.
- Liaise directly with contractors and suppliers to review and control the flow of project documentation.
- Co‐ordinate with internal teams and external stakeholders, maintain version control and ensure up‐to‐date documentation is available.
- Liaise with relevant parties by organising and indexing records in a traceable format.
- Develop and manage a project control system using Sharepoint.
- Provide training and guidance on the document control system as required.
Qualifications:
- Viewpoint or 4 Project experience (system used).
- Knowledge of Microsoft Office software, especially Word, Excel, and Outlook or similar programmes.
- Verbal and written communication skills.
- Strong organisational and management skills.
- Clear and efficient numbering and labelling skills.
- Attention to detail to ensure documents are accurate.
- Filing and organisation skills for document storage.
