Overview

We are looking for a Personal Assistant who will support our Exec team. This role will involve managing diaries (including scheduling all meetings), appointments and general personal administration. Strong interpersonal skills and relationship management experience is a must, alongside exceptional organisational skills, keen eye for detail, can-do attitude, willingness to learn and a calm/level-headed manner. We are looking for someone with a creative eye, comfortable dealing with business and personal tasks for our Exec team and working within a fast paced and supportive area.

Location: 4 days per week at our North Acton office, with the remaining day WFH. This position is for a 12 Month Maternity Cover role; candidates must be comfortable with this before applying. Ideally looking at a mid August start date.

What You Will Do

  • Extensively manage the diaries and agendas across multiple stakeholders and time zones.
  • Provide background information on all meetings, both internal and external making sure the Executives are briefed ahead of meetings.
  • Support the production of presentations and papers.
  • Help with the planning and organising of company events, including team strategy days and companywide social events.
  • Own distribution lists for teams.
  • Work closely with our PA team, and support with the management of the Founder’s schedule.
  • Manage travel and expenses, including international travel.
  • Support with general administration and keeping on track of projects.

  • Solid experience previously as a Personal Assistant.
  • Strong calendar and time management skills.
  • High level of organisation.
  • Excellent communication skills.
  • Ability to prioritise tasks, completing them with a high degree of accuracy.
  • Proficiency in Microsoft Applications (Excel, Word, Outlook, Mail Merges, PowerPoint).
  • Flexibility in approach and very strong on teamwork.
  • A strong communicator who can influence at all levels with a positive, proactive and professional attitude.
  • Solution-oriented problem solver.
  • Fantastic attention to detail.
  • Enjoys and thrives in a fast-paced environment.
  • Conscientious, reliable, and able to multitask.
