We’re hiring a Wholesale Operations Executive for a contemporary luxury womenswear label. The role sits at the centre of the business, where everything connects. From sales orders through to final delivery, the focus is on keeping product moving smoothly across a global network of partners. Working closely with Sales, Logistics, Finance, Production and E-Commerce, this position brings visibility across the full wholesale lifecycle. It suits someone who enjoys structure and detail, and takes pride in accuracy, understanding how strong operational foundations directly support commercial success. There is a steady rhythm to the role, but also the pace and complexity that comes with an international brand. Reporting to the Head of Wholesale Operations, you will be responsible for order processing, coordinating with international agents and ensuring compliance across key global retailers, including EDI requirements. The detail matters, but so does the ability to step back and see how each part fits into the wider picture. This is a great opportunity for a wholesale operations professional with around 4 to 5 years of brand-based experience within contemporary or luxury fashion and international distribution, underpinned by a detail-oriented, organised and collaborative approach.
What You’ll Be Doing
- Process sales orders on Zedonk according to the seasonal schedules.
- Assist the sales department with the closing of seasonal order books, roll-ups and sending order confirmations.
- Liaise with nominated sales agents regarding brand queries, order amendments, cancellations, and exclusive requests.
- Support the sales department in the preparation of off-price trading orders and seasonal sales analysis packs.
- Distribute weekly ATS (Available to Sell) stock reports to relevant stakeholders.
- Manage outbound shipments from the warehouse for the US market.
- Prepare pick tickets, invoices, and credit notes; issue dispatch notifications and tracking details to wholesale clients.
- Coordinate credit card payment procurement via factors and arrange deposit collections for US customers pre-production.
- Manage and update the client logistics and credit control database to provide accurate data to the Finance team.
- Prepare month-end reporting for stock, invoicing, credits/swaps, and stock audits.
- Reconcile and prepare EDI-related invoices for the internal accounts team.
- Check newly transmitted EDIs and prepare EDI allocations for the US market.
- Adhere to existing Vendor Compliance requirements for all major US trading partners, including Saks and Neiman Marcus.
- Monitor and maintain EDI Trade Catalogues to ensure data integrity across platforms.
- Proactively update customers on order fulfilment and distribution status.
- Communicate tracking details and monitor deliveries to client Distribution Centres (DCs).
- Manage courier pick-ups and coordinate administrative tasks for gifting and event stock movements.
- Coordinate staff allowance orders and assist the Head of Operations with ad-hoc projects.
Essential Skills
- Around 4 to 5 years of experience in international wholesale operations in a contemporary or luxury fashion brand.
- Skilled in managing high-volume data entry with accuracy.
- Experience with major US vendor compliance and EDI workflows.
- Ability to work autonomously within a fast-paced team environment.
- Excellent communication skills, managing relationships with sales agents and international clients.
- Software proficiency in Zedonk, Joor, WMS, VC / Edi Portals, Edi Trade Catalogues, Microsoft Office.
