We are recruiting for a Site Administrator on the Golticlay Wind Farm project. You will manage and coordinate all administrative duties, ensuring timely and accurate information for the Project Manager and site teams. You will need to be able to organise your workload, filing methods and work in a clear and logical manner, following process and procedure. You must be able to meet deadlines without compromising on quality and work on your own initiative whilst working in a team environment. You must demonstrate enthusiasm to learn new experiences and skills and be supportive of a hard-working team, with the ability to quickly build strong working relationships with people at all levels. You must also demonstrate the confidence to use your communication skills to ask questions to seek and clarify information.

Start Date: August 2026
Contract: 3 months initially
Hours: 32.5 hours a week, either over 3, 4 or 5 days
Location: Wick

Responsibilities:

  • Document control including inputting data and uploading documents into various systems including Sharepoint and Aconex (Farrans Document Management System) and ensure all paperwork is filled as per the correct procedures for Quality and H&S.
  • Project Superuser for the access control system, MSite. Issue registration emails to new users and monitor expiry dates for trade cards, run reports and audits.
  • Assist the Accounts department to ensure invoices are signed and approved quickly. Manage delivery docket approval process, gain approval from the appropriate team members on site in a timely manner using Coins OA and keep the approved signature list up to date.
  • Main point of contact for all visitors to site/front of house. Dealing with clients and customers in a professional and friendly manner via email and face to face and ensure all visitors are signed in and have the correct PPE. Assist the team with inductions. Assist the team at the end of the project closing the site down correctly and archiving paperwork as per procedures.
  • Carry out general office duties including ordering office supplies, PPE and consumables for site, update all information boards on site.
  • Support the Social Value Team achieving targets for the project, liaise with stakeholders and local council, employment partners and local education, produce progress reports, coordinate CCS audits.
  • Occasionally there may be the need to travel to other Farrans projects or Head Offices.

The above is not an exhaustive list of duties and you may be asked to help with ad-hoc duties as requested by onsite management.

Qualifications

Essential:

  • Excellent communication skills - both written and verbal.
  • Working knowledge in Microsoft Office packages including Word and Excel.
  • Capable of working on own initiative whilst working in a team environment.
  • Confident in asking questions, seeking and clarifying information and have an enthusiasm to learn new experiences and be supportive of a hard-working team.
  • Previous Administration / Project Coordinator experience.
  • Able to prioritise, multi-task and an understanding of deadlines and working to achieve these.
  • An excellent professional demeanour.

Desirable:

  • Previous construction industry experience.
  • Previous Aconex experience.
  • Previous MSite experience.
