This fulltime, site-based role brings together traditional site administration with public facing communication responsibilities, including customer updates, website notices and Traffic Management (TM) information.

In addition to core administrative duties, you will play a key part in supporting project communications by responding to customer enquiries, preparing website content, issuing TM change notifications and helping to deliver clear public information such as road closure updates.

To succeed in this role, you must be able to organise your workload effectively, maintain accurate and efficient information management systems, and work in a clear and logical manner while following established processes and procedures. You must be confident working to deadlines without compromising on quality using your own initiative while collaborating as part of a wider team.

You should also demonstrate enthusiasm for learning new skills, supporting colleagues, and building strong relationships with people at all levels. Strong communication skills are essential — including the confidence to ask questions, seek clarification and ensure all information shared internally and externally is accurate and up to date.

This is a fulltime role, with responsibilities split approximately 70/30 between administrative duties and communications/TM support. It is well suited to someone who enjoys variety in their day-to-day work and can switch effectively between detailed admin tasks and broader stakeholder and public engagement activities.

Responsibilities
  • Manage document control, including uploading information into SharePoint, Aconex and other relevant systems, ensuring compliance with Quality and H&S procedures.
  • Act as Project Superuser for the access control system (MSite): issue registration emails, monitor card expiry dates and run reports and audits.
  • Support the Accounts team by managing invoice approvals, delivery dockets, and maintaining the approved signatures list using Coins OA.
  • Act as the main point of contact for site visitors, managing front of house activities, visitor sign-in, PPE requirements, and assisting with site inductions.
  • Carry out general office duties including ordering stationery, PPE and consumables, and maintaining onsite information boards.
  • Assist at project close-out, including file archiving and final site administration requirements.
  • Support the site management team by coordinating and preparing for Considerate Constructors Scheme (CCS) audits.
Customer, Stakeholder & Public Communications
  • Coordinate delivery of agreed project communication plans including implementation of contract customer liaison and care standards.
  • Respond to customer emails and enquiries, ensuring clear, accurate, and timely communication.
  • Prepare and issue notifications relating to Traffic Management (TM) changes, including diversion updates, phasing changes, and stakeholder alerts.
  • Write and publish website updates based on TM changes and project progress.
  • Create and distribute road closure notifications, ensuring information is accessible and up to date for the public and affected parties.
  • Liaise with internal teams to gather the most current information, ensuring all communications reflect the latest site activity and TM plans.

Occasionally there may be the need to travel to other Farrans projects or Head Offices.

Qualifications
  • Excellent communication skills - both written and verbal.
  • Working knowledge in Microsoft Office packages including Word and Excel.
  • Capable of working on own initiative whilst working in a team environment.
  • Confident in asking questions, seeking and clarifying information and have an enthusiasm to learn new experiences and be supportive of and part of a hard-working team.
  • Previous Administration / Project Coordinator experience.
  • Able to prioritise, multi-task and an understanding of deadlines and working to achieve these.
  • An excellent professional demeanour.
Desirable
  • Previous construction industry experience.
  • Previous Aconex experience.
  • Previous MSite experience.
  • Experience in public or stakeholder communications.
