Farrans is currently looking for a Document Controller, working within our Civils division covering our Tees pipeline project in the North East of England. The role is fixed term 12 contract with potential for the role to be extended to 2028.
Our civil engineering division works across Transportation, Water, Marine and Energy as a whole. The role available will be assisting the Tees pipeline team to support one of the larger Water framework projects. We have been awarded several contracts with Northumbrian Water which will be providing resilience to the water supply in England, with current works located in Durham and Barsham. This is in addition to our current work with Anglian Water, Affinity Water, Northern Ireland Water, and Irish Water.
As a Document Controller you will be site based working alongside the project team to ensure the timely and smooth running of all projects.
Main responsibilities:- Coordinate all activities related to the document control procedure, including technical documents, drawings, and commercial correspondence.
- Input document data into standard registers ensuring that the information is accurate and up to date.
- Make sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable.
- Maintain the documents and drawings in the document control office under safe custody without any damage or deterioration with easy traceability.
- Maintain the files and control logs as required by the project.
- Manage and take ownership of the day-to-day administration of a busy contracting office, ensuring compliance to company policies.
- Handle internal and external phone calls and correspondence (e-mail, letters, packages etc.).
- Filing, archiving and retrieval of documents and conformance to data protection legislation.
- Knowledge in use of spreadsheets, database, word processing and selected job specific software.
- Experience setting up and using electronic document management systems.
- Excellent written and verbal communication and interpersonal skills.
- High level of accuracy and attention to detail.
- Ability to keep clear and accurate records and reports; use computer and rapidly input data and retrieve records and information; organise workload and manage filing methods and management techniques; work in a clear logical manner, following process and procedure; work independently or as part of a wider remote and local team; meet deadlines without compromising on quality; quickly build strong working relationships with people at all levels.
