About The Role

The Extended Warranty & Service Contracts Coordinator is responsible for the administration of extended warranty programmes, manufacturer warranty registrations and customer service contracts across the business. Working closely with Sales, Service and Warranty teams, the role ensures extended warranty applications, machine registrations and service contracts are processed accurately, efficiently and in line with manufacturer requirements. The role is central to delivering an excellent customer experience while supporting contract compliance, service plan administration and the ongoing growth of Farol's aftersales offering.

Key Responsibilities

  • Extended Warranty Administration
    • Process John Deere PowerGard and other extended warranty applications accurately and within agreed timescales
    • Prepare and issue customer documentation for electronic signature
    • Monitor outstanding documentation and proactively follow up with customers
    • Respond to customer enquiries relating to extended warranty applications and documentation
    • Process warranty transfers, amendments and renewals where applicable
  • Manufacturer Warranty Registration
    • Register John Deere and Kramer machines for manufacturer warranty
    • Ensure warranty registrations align with extended warranty and service contract start dates
    • Process machine re-registrations and dealer transfers using manufacturer systems
    • Maintain accurate manufacturer records and resolve any discrepancies
  • Service Contracts
    • Produce quotations for planned maintenance and service contracts
    • Set up customer service contracts following machine sales
    • Ensure contracts are activated accurately and within agreed timescales
    • Support the administration of Gold maintenance plans and associated compliance requirements
    • Assist with contract renewals and fleet contract administration
  • Contract Monitoring
    • Monitor machine operating hours to ensure service plans remain aligned with customer usage
    • Support proactive reviews of fleet contracts and identify contracts approaching renewal
    • Assist in maintaining compliance across all customer maintenance agreements
    • Produce maintenance booklets and supporting customer documentation

Person Specification

Essential

  • Previous experience in a busy administrative or coordination role
  • Excellent organisational skills and exceptional attention to detail
  • Strong written and verbal communication skills
  • A customer-focused approach with the confidence to communicate professionally by telephone and email
  • Ability to prioritise workloads and manage multiple tasks simultaneously
  • Good IT skills, including Microsoft Office applications
  • Ability to learn manufacturer systems and internal software

Desirable

  • Experience of warranty administration, service contracts or maintenance agreements
  • Experience within agriculture, automotive, construction or a similar technical industry
  • Knowledge of John Deere systems, SVAP or equivalent manufacturer portals
  • Experience using CRM or ERP business systems
