Responsibilities:
- Administration of Function Sheets: Manage and maintain accurate function sheets for all events, ensuring they are up-to-date and accessible for the team.
- Event Bookings and Coordination: Handle casual afternoon tea bookings, in-house ticketed events, carvery functions, and more, ensuring smooth communication and timely execution of each event.
- Client Liaison: Work directly with clients to confirm final event details, ensuring all preferences, requests, and requirements are met.
- Payment and Contract Management: Ensure all payments and contracts are received on time, accurate, and processed into the system in a timely manner.
- Event Signage Administration: Provide administrative support for event signage, including place cards, directional signage, and other event-related materials.
- Customer Feedback Collection: Collate customer feedback following events and share insights with the team to improve services and customer satisfaction.
- Service Calls: Handle service-related calls, responding promptly to customer inquiries, and ensuring a high standard of customer service is maintained.
- Tournament Management System Administration: Manage the tournament management system, ensuring it is updated and accurate for any upcoming golf events and tournaments.
- Flexible Member Renewals: Administer monthly rolling flexible membership renewals, ensuring accurate record-keeping and timely processing.
- Birthday Emails: Send out customer birthday emails as part of the customer engagement strategy to maintain strong relationships with members.
- Membership Renewal Support: Provide administrative support for membership renewals, ensuring timely communication and processing of renewals.
- Direct Debit Report Administration: Collate and prepare the monthly direct debit report for review by management, ensuring accuracy and completeness.
- To create the right customer care attitude towards all clients demonstrating the ability to create rapport over the phone & in person
- Provide administrative support within the department ensuring all paperwork is filed correctly and correspondence organised and kept up to date,
- Recording all information correctly in the booking system, confirming the booking and sending relevant contract and paperwork.
- To ensure all data is entered correctly into the system for both events and conference, ensuring data integrity and accuracy for reporting requirements.
- Preparing weekly function sheets and liaising with all relevant departments on requirements of clients.
- Assisting Restaurant & Operational Managers with functions and conferences on the day i.e. meet and greet all guests and set up of function room as applicable when necessary.
- Recording and updating client databases.
- To undertake duties of work outside the normal weekly routine but within the overall scope of the position at the request of your line manager
Requirements:
- Previous experience in sales support or administration preferred
- Strong organisational and multitasking abilities, with excellent attention to detail
- Excellent communication and interpersonal skills, with the ability to interact effectively with clients and colleagues
- Proficiency in Microsoft Office suite and CRM software
- Ability to work independently and as part of a team
- Flexibility to work evenings, weekends, and holidays as needed
