An exciting opportunity has arisen for a Fleet Administration and Support Officer to join our Transport Repair Unit (TRU) on a fixed-term maternity cover contract. Supporting the Council's fleet operations, you will help provide an efficient, effective and professional administration service to ensure our fleet remains compliant, maintained and available to support frontline services across the Borough.
Your duties will include:
- Supporting the day-to-day administration of the Transport Repair Unit.
- Processing driver defect reports and supporting workload scheduling.
- Ordering vehicle parts and maintaining accurate records.
- Processing, coding and reconciling invoices relating to fleet operations, ensuring accurate allocation of costs, prompt payment processing, and compliance with financial procedures.
- Liaising with suppliers and third-party contractors regarding repairs, MOTs, tachograph appointments, LOLER inspections and other compliance requirements.
- Maintaining electronic fleet records and uploading compliance documentation.
- Monitoring stock levels of parts and consumables.
- Producing and maintaining servicing, inspection and calibration schedules.
- Recording vehicle off-road information and communicating updates to service managers.
- Supporting the production of fleet performance information and key performance indicators (KPIs).
- Promoting health and safety and ensuring compliance with Council procedures and standards.
About You
You will be an organised and methodical administrator with excellent communication skills and the ability to manage competing priorities in a busy operational environment. We are looking for someone who has:
- Excellent administrative, numerical and ICT skills.
- A helpful and professional approach when dealing with customers, suppliers and colleagues.
- The ability to balance conflicting priorities and meet deadlines.
- Strong organisational skills and attention to detail.
- A flexible approach and willingness to support a variety of tasks.

- A commitment to providing a high-quality service and getting the job done well.
Experience within a fleet, transport, workshop or operational administration environment would be advantageous but is not essential.
