We are currently searching for a Document Controller/Office Manager for an exciting construction scheme in the heart of Birmingham. This scheme will provide over 500 new homes across 6 mid to high-rise blocks and has a build value of £80m. This company specialises in modern methods of construction and are at the pinnacle of driving innovation in the sector. They have national coverage and are headquartered in the West Midlands.

Duties:

  • Document Management: Oversee the receipt, distribution, tracking, and archiving of all project documentation (drawings, RFIs, submittals, etc.) using document control systems (e.g., Aconex, Viewpoint).
  • Compliance & Quality Control: Ensure all documents meet regulatory, client, and company standards before distribution.
  • Communication Liaison: Act as the central point of contact between site teams, consultants, and subcontractors for document flow and updates.
  • Office Administration: Manage day-to-day office operations including supplies, equipment, and facilities to support the project team efficiently.
  • Meeting Coordination: Organise project meetings, take minutes, and ensure action points are documented and followed up.
  • Staff Support: Provide administrative support to project and site teams including onboarding, timesheets, and training coordination.
  • Filing Systems & Data Security: Maintain structured digital and physical filing systems, ensuring document confidentiality and accessibility.
  • Reporting & Auditing: Prepare regular reports on document status, version control, and support audits as required.

Required:

  • Strong background in document control, site office management or site administration.
  • Experience working solely or had crossover in the document control function of a construction project.
  • Great interpersonal skills and ability to communicate effectively across an array of external consultants.
  • Experience using EDMS systems such as Viewpoint; Autodesk Build; ASite.
