Office Based, Full Time. Monday to Friday 08:30am – 5:30pm. Based at our Head Office in Lordswood, Chatham, Kent.

Introduction

Faithdean PLC seek an Assistant / Trainee Document Controller to join us at our Head Office based in Lordswood, Chatham.

To join one of our project teams to assist the Lead Document Controller and the project team.

This is a fast-paced team, with large amounts of information to process and distribute correctly and efficiently.

No experience is required for this role, knowledge of construction is advantageous but not essential.

Formed in 1977 and operating from offices in London and Kent.

We have an extensive portfolio of successfully completed projects covering a range of construction criteria across all market sectors.

This includes new build schemes, maximising existing developments including ‘cut and carve’ and major structural modifications, refurbishment and the fitting out of interior spaces.

  • Job Role / Responsibilities
  • To maintain good relationships with the Professional Team and the Client. As well as the Faithdean Subcontractor and Supply chain.
  • To keep all relevant documentation relating to the contract or contracts saved into the Procore or Deltek PIM platform.
  • To oversee the document management for several projects at any one time, ensuring project related documentation is uploaded, distributed and tracked correctly, using the Procore or Deltek PIM platform.

Including (but not limited to): Request for Information, Technical Submittals, Sample Submittals, Professional Team Drawings & Subcontractor & Supplier Drawings.

  • To coordinate with the project team any specific documentation distribution requirements and undertake tasks as directed by the project team.

To coordinate with the professional team any missing or inaccurate project information and tracking its updates to ensure correction.

  • To be responsible for the loading, tracking and chasing of the Faithdean supply chain design information, inclusive of Drawings, Technical Submissions and Request for Information.
  • To facilitate the efficient retrieval of project documents throughout the project lifecycle.
  • To help / be responsible for the collation of Operation and Maintenance Manuals. Dependent on the contract and requirements. Electronic / Printed.
  • To attend meetings when required (usually teams) to discuss project needs, overdue, outstanding information.

These will be with both the internal Faithdean Team and External Professionals / Sub contractors.

  • To update, collate and manage the Progress Reports on live projects.
  • Potential to assist with the upload of tenders / enquiries received that the team are pricing.
  • Publishing of incoming and outgoing emails.
  • General support for the projects as and when it arises.

Including but not limited to: Saving documents, printing and posting information, producing presentations ahead of meetings.

Experience / Skills

  • Proficient in the use of Microsoft Office – Word & Excel.
  • Proficient in the use of Outlook.
  • Outstanding Organisation skills with a great eye for detail and accuracy.
  • Excellent communication skills – From Clients, Professional Teams, Team Members & Supply Chain.

Confidence to lead meetings to review Project information and request outstanding responses / information.

  • Able to work to tight deadlines and in a timely manner.
  • Work both well as part of a team and on their own. Able to use their own initiative.
  • Flexibility and ability to deal with multiple priorities and how to manage these.
  • Prior knowledge of construction and the roles of the professional team, main contractor and supply chain is advantageous but not essential.
