We are looking for an organised and proactive New Build Conveyancing Assistant to join our busy Conveyancing Department in Leiston on a fixed-term maternity cover basis.
This role is key to supporting the smooth progression of new build property transactions from instruction through to completion, ensuring excellent client service and efficient case management throughout the conveyancing process.
The successful candidate will have strong administrative and communication skills, excellent attention to detail, and the ability to manage multiple transactions while building positive working relationships with clients, developers, solicitors, estate agents, lenders, and colleagues.
Key Responsibilities
- Prepare and issue quotations for new build conveyancing matters.
- Open and set up new client files in accordance with firm procedures and compliance requirements.
- Conduct Anti-Money Laundering (AML) and Client Due Diligence (CDD) checks, ensuring all regulatory and compliance requirements are met.
- Carry out Land Registry searches, including map searches and title investigations.
- Draft contracts and associated legal documentation.
- Prepare and issue contract packs to relevant parties.
- Respond to enquiries from clients, solicitors, developers, estate agents, lenders, and other stakeholders in a professional and timely manner.
- Assess requirements for indemnity insurance policies and implement appropriate cover where required.
- Maintain accurate records and update case management systems throughout each transaction.
- Liaise with clients and key stakeholders, providing regular progress updates and resolving issues promptly.
- Prepare and submit Stamp Duty Land Tax (SDLT) returns in line with compliance requirements.
- Coordinate and oversee completions, ensuring all documentation, funds, and deadlines are managed accurately.
- Support the wider New Build Conveyancing Team in achieving departmental objectives and maintaining excellent service standards.
- Identify opportunities to improve processes and contribute to the efficient operation of the department.

- Previous experience within a conveyancing, legal, or property environment, ideally with exposure to new build transactions.
- Strong administrative and organisational skills.
