About the Role

Fairview Health is strengthening its central governance infrastructure within the Pharmacy Office. As part of this strategic development, we are establishing a dedicated standards and quality function to support our growing network of pharmacy sites. The Pharmacy Standards and Quality Officer will be a core member of the Pharmacy Office team, working closely with senior leadership and site leads to embed robust governance systems, strengthen incident management frameworks, and drive a sustainable culture of quality and medicines safety across the organisation. This role sits at the centre of organisational oversight - translating regulatory standards into structured, practical systems that support safe, compliant, and inspection-ready pharmacy operations.

Role Purpose

To support the Pharmacy Office in leading compliance, medicines safety, quality assurance, and risk management across all pharmacy sites, ensuring alignment with UK legislation, GPhC standards, and internal governance frameworks. The postholder will act as a central governance resource, supporting site teams, strengthening incident reporting and learning systems, and contributing to continuous improvement across the organisation.

Key Responsibilities

  • Regulatory Compliance & Governance
    • Support the Pharmacy Office in ensuring all sites remain compliant with UK legislation, Human Medicines Regulations, and GPhC standards.
    • Monitor regulatory updates and coordinate structured implementation across the organisation.
    • Contribute to inspection readiness planning and regulatory response coordination.
  • Quality & Medicines Safety
    • Support oversight of medicines safety systems across all pharmacy sites.
    • Monitor and review incident reporting trends, near-miss data, and controlled drug incidents.
    • Assist in root cause analysis and ensure corrective and preventive actions are implemented effectively.
    • Support sites in strengthening incident reporting processes and learning from errors.
    • Promote consistent and structured medicines safety review mechanisms.
  • Audit & Risk Management
    • Develop and maintain structured audit programmes across sites.
    • Conduct internal compliance and governance reviews.
    • Contribute to organisational risk assessments and maintain oversight registers.
    • Identify compliance gaps and support development of risk mitigation action plans.
    • Monitor corrective actions and ensure timely follow-up.
  • Incident Reporting & Learning
    • Support the management and review of incident reporting systems across sites.
    • Assist in preparing incident summaries and governance reports for senior leadership.
    • Contribute to lessons learned documentation and safety improvement initiatives.
    • Encourage a transparent, learning-focused reporting culture.
  • Training, Culture & Engagement
    • Deliver compliance and quality-focused training to pharmacy teams.
    • Provide guidance on regulatory, medicines safety, and governance requirements.
    • Support the development of a strong quality culture across all sites.
    • Engage constructively with senior managers and site leads to influence improvement.
  • Reporting & Documentation
    • Maintain central compliance and governance records within the Pharmacy Office.
    • Produce structured quality and governance reports for leadership review.
    • Support preparation of documentation for inspections, audits, and commissioner engagement.

Qualifications & Experience

  • Essential
    • Level 3 Accredited Pharmacy Technician qualification with current UK registration (where applicable).
    • Demonstrable experience working within medicines safety, quality assurance, or compliance in UK pharmacy practice for a sustained period.
    • Proficiency in quality control and quality auditing processes to ensure adherence to regulatory standards and best practice.
    • Strong understanding of GPhC standards, Human Medicines Regulations, and pharmacy governance frameworks.
    • Experience supporting or contributing to incident review processes and structured risk management.
    • Strong analytical skills with the ability to assess systems, identify gaps, and support evidence-based decision-making.
    • Excellent written and verbal communication skills, with the ability to collaborate effectively with multidisciplinary teams and influence senior managers.
    • High attention to detail and a structured, process-driven approach.
  • Desirable
    • Hospital pharmacy experience.
    • Experience implementing or maintaining quality management systems (QMS).
    • Experience in a quality-oriented role within pharmaceutical or healthcare settings.
    • Familiarity with compliance tracking systems, audit software, or pharmacy governance tools.
    • Knowledge of formal risk management and root cause analysis methodologies.

Working Pattern

Monday to Friday (Full-Time) Based within the Pharmacy Office (Head Office in London). Occasional travel to pharmacy locations. Flexibility required around audit cycles and inspections.
