Job Role
The Facilities & Property Coordinator is responsible for supporting the effective operation, maintenance, compliance and administration of the Fairstone property portfolio across the region.
The role acts as the primary regional contact for facilities management, property coordination, landlord liaison, contractor management and workplace standards, ensuring all offices remain safe, compliant, professional and fit for purpose.
The post holder will work closely with the Head of Facilities, operational business leaders, landlords, managing agents and service providers to deliver a high-quality workplace experience while supporting the wider business.
The role combines operational FM, property administration, compliance monitoring, project coordination and workplace support across a diverse portfolio of financial advice offices.
Responsibilities
Facilities Management
- Act as the first point of contact for all facilities-related matters across the South Region.
- Monitor service delivery against agreed service levels.
- Conduct regular site inspections and workplace audits.
- Support office openings, closures, relocations and refurbishments.
- Coordinate office moves and workplace reconfigurations.
Property Management
- Support the management of leasehold properties across the region.
- Monitor lease events, break dates, rent reviews.
- Liaise with landlords, managing agents and solicitors regarding property matters.
- Assist with dilapidations, property surveys and condition assessments.
Health, Safety & Compliance
- Support statutory compliance across all regional offices.
- Coordinate inspections, testing and servicing
- Monitor contractor compliance and permit-to-work processes.
- Support risk assessment programmes.
- Escalate compliance risks to the Head of Facilities.
Contractor & Supplier Management
- Coordinate regional service providers and contractors.
- Review contractor performance and service quality.
- Ensure contractors comply with Fairstone policies and site rules.
- Support implementation of national supplier agreements.
Workplace Experience
- Assist with office standards, branding and presentation.
- Coordinate office services including:
- Support local office managers with facilities queries.
Project Coordination
- Support regional facilities and property projects.
- Support refurbishment and fit-out programmes.
- Assist with office acquisitions and integration projects.
Administration & Reporting
- Produce regional management reports and KPI data.
- Support budget monitoring and invoice processing.
Skills and Qualifications
Qualifications
- IOSH Managing Safely (or willingness to obtain within 12 months).
- Full UK Driving Licence.
Experience
- Minimum 3 years’ experience within Facilities Management, Property Management or Workplace Services.
- Experience managing multiple sites across a regional portfolio.
- Experience coordinating contractors and service providers.
- Experience supporting compliance and health & safety programmes.
- Experience dealing with landlords and managing agents.
- Experience using CAFM systems and property databases.
- Experience managing competing priorities in a fast-paced environment.

Desirable Qualifications
- IWFM Level 3 or Level 4 qualification.
- NEBOSH General Certificate.
