We are seeking a Dutch Speaking, European Services Administrator to join our European Services team. This role exists to provide administrative and operational support to the European Services function, ensuring accurate data capture, timely processing of service documentation, and effective coordination across internal teams. You will be responsible for supporting service operations through maintaining data integrity, assisting with invoicing processes, and ensuring clear communication between engineers, coordinators and Finance stakeholders. This opportunity would suit a highly organised administrator with strong attention to detail, looking to develop within a global engineering and services environment.
What You’ll Be Doing
- Maintaining accurate records of engineer and subcontractor timesheets, service reports and job activities
- Supporting the tracking of labour hours, travel time and expenses
- Ensuring service documentation is complete, structured and stored correctly
- Monitoring submission of service reports and following up where required
- Raising service invoices in line with provided schedules
- Supporting validation of invoice data (timesheets, expenses, parts)
- Assisting with resolving discrepancies in invoicing data
- Supporting tracking of outstanding or unallocated invoices
- Inputting and maintaining accurate data within ERP systems and internal trackers
- Checking for inconsistencies or missing data and escalating where required
- Supporting basic reporting and data extraction for the wider team
- Assisting in maintaining structured and organised data files
- Acting as a point of contact for basic queries from engineers and internal teams
- Supporting coordination between Service, Finance and Sales teams
- Providing basic Dutch/English support for communication where required
- Escalating issues or delays in a timely manner
- Following defined processes and ensuring compliance with internal procedures
- Supporting the wider team in maintaining operational discipline and consistency
- Escalating risks relating to workload, missing data or process gaps
What We’re Looking For
Essential
- Experience in an administrative or support role
- Experience working with data, systems, or documentation
- Basic experience with ERP or administrative systems
- Good working knowledge of Microsoft Excel (data entry, tracking)
- Strong attention to detail and organisational skills
- Clear and professional communication skills
- Ability to work within structured processes and manage repetitive tasks
- Fluent English
- Dutch language (A1/A2 minimum)
Desirable
- Experience within manufacturing, engineering or service environments
- Experience supporting invoicing or commercial administration
- Experience working across multiple countries or languages
Working Pattern & Location
Full time, 37.5 hours per week on a fixed term 6 month contract (Monday to Friday). Hybrid or remote working depending on location (UK or Netherlands), with expectation of close collaboration across European teams.
