Faciltities by ADF have an exciting opportunity for a Finance Assistant (Sales Administration) to join their expanding team.

Location: Bridgend, South Wales, CF32 9SZ

Salary: Starting salary of £24k + competitive benefits package

Hours of work: 9am – 5pm with an hour lunch (35 hours per week). Would be flexible for part time to suit the best candidate if required.

About Us: Facilities by ADF Plc provides serviced vehicle hire for high end television and film productions in the UK and Europe, specialising in on-location support for dramas and major features. The Sales Administration team sit within the Finance function but work closely with our Sales and Account Management team to ensure the accurate and timely billing of services to our customers.

Finance Assistant - Role: The Sales Administration Assistant role reports into the Office Manager. The focus of the role is to support the team with all aspects of customer billing along with any other administrative tasks required by the Office Manager.

Finance Assistant - Key Responsibilities:

  • Invoicing using our Sage Intacct software, in line with agreed purchase orders
  • Maintaining up to date customer records in Sage Intacct
  • Assist with the analysis, administration, and invoicing of Shell & DKV Fuel bills
  • Assist with the analysis, administration and invoicing of congestion charges and Dartford Crossing
  • Assist with the analysis of Sundry receipts confirming recharges with Account managers and invoicing when required
  • Assist with the preparation and issuing of pre-production packs to customers
  • Assist with the weekly monitoring of ad-hoc hire outs and invoicing when required
  • Seek ways in which we can better use the system and improve the efficiency of manual processes
  • Assist with the ordering of stationery and office supplies when required
  • Assist with the writing and Publishing of monthly Employee newsletter
  • Answering telephone and transferring calls/taking messages etc
  • Sorting and distributing the post
  • Any other general administrative duties

Finance Assistant - You:

  • This would suit someone with proven administrative skills, with previous experience in a Finance department
  • Excellent attention to detail
  • Good communication skills and an ability to work constructively with other teams across the business
  • Experience of working with Microsoft 365 (particularly Excel) considered essential but any experience of working with Sage Intacct or Salesforce desirable
  • Ability to plan workload and prioritise where necessary
  • High standard of customer service
