The Role:

The Events Specialist is responsible for planning, coordinating, and executing engaging in-person and virtual events that support our brand, drive business objectives, and create meaningful experiences for clients, prospects, and internal teams. In this role, you will work closely with cross-functional partners across marketing, sales, and leadership to deliver high-impact events from intimate dinners to large-scale summits and brand events.

What You’ll Do:

  • Creating and refining event concepts aligned with company objectives, including theme, format, and target audience
  • Researching and securing suitable event venues, negotiating contracts, and managing site logistics
  • Identifying and contracting with vendors like caterers, AV providers, decorators, and entertainment, managing their services and ensuring quality
  • Developing and adhering to event budgets, tracking expenses, and managing invoices
  • Collaborating on registration processes, managing attendee lists, and coordinating RSVPs
  • Overseeing all travel and accommodation arrangements related to events
  • Collaborating with sales, marketing and brand teams on event collateral and promotion through various channels, including email campaigns, and event websites
  • Supporting post-event activities such as debriefs, feedback collection, and reporting on event success

About You:

  • Minimum of 3 years’ experience in event coordination or a related role, preferably in B2B environments
  • Ability to interact effectively with clients, vendors, internal stakeholders, and attendees
  • You’re proactive in finding answers and driving solutions, while knowing when to pull in support if needed
  • Detail-oriented approach to managing multiple tasks and timelines simultaneously
  • Proven ability to plan, execute, and monitor event projects within budget and deadlines
  • Spot opportunities to elevate events and bring fresh, innovative ideas to engage participants
  • Quickly identifying and resolving issues that may arise during event planning and execution
  • Understanding of financial constraints and effectively managing event budgets
