ExTrac is a young, dynamic, and high-growth scale-up. We help people and companies make better decisions around the risks and opportunities of geopolitical events using open source and publicly available data. We do this by building products that combine expertise across the humanities and sciences, bringing together data, AI, and domain expertise. As we are entering an exciting phase of growth, we are looking for a Finance Manager to support our team.
The Role
This is not a typical finance role. As Finance Manager, you'll be both strategic and hands-on, building and automating scalable finance systems that keep pace with growth. Sitting at the intersection of finance and operations, you'll replace manual workflows with intelligent, integrated infrastructure that delivers accurate, timely insights for decision-makers and enables our next phase of scale.
Responsibilities
- Financial Operations & Control
- Own day-to-day operations: AP/AR, expenses, bank reconciliations, and month-end close.
- Oversee all ledger activity; ensure compliance with accounting principles and company policies.
- Manage monthly and annual close processes with accuracy and timeliness.
- Reporting, Metrics & Forecasting
- Deliver accurate monthly, quarterly, and annual financial statements.
- Build and maintain dashboards and forecasting models.
- Prepare monthly management reports; drive budgeting, forecasting, and planning cycles.
- Partner with department leads to drive budget accountability and transparency; support scenario modelling and long-term planning.
- Automation & Systems Implementation
- Identify and automate manual processes across billing, payments, approvals, forecasting, and reporting.
- Evaluate, implement, and integrate finance tools; collaborate with operations and Engineering on internal systems (e.g., billing architecture, API integrations).
- Ensure clean, reliable data flows between CRM, billing, and accounting/finance systems; reduce reporting time, errors, and overhead.
- Compliance, Tax & Audit
- Coordinate with external accountants, auditors, and tax advisors.
- Maintain strong internal controls and risk-mitigation processes.
- Ensure correct treatment of deferred revenue, equity, and R&D tax claims.
- Maintain compliance with statutory and tax requirements (e.g., VAT, R&D tax credits, payroll filings).
Essential Skills, Experience and Qualifications
- 4-6+ years in finance, ideally within high-growth startup environments.
- Strong working knowledge of SaaS business models and metrics.
- Proven experience implementing and/or managing financial automation tools and integrations.
- Proficiency with cloud accounting systems and automating workflows via tools or APIs.
- Advanced spreadsheets and financial modelling skills (Excel / Google Sheets).
- Excellent communication skills; able to explain financial concepts to non-finance stakeholders.
- Hands-on, problem-solver with a builder mindset.
Desirable Skills, Experience and Qualifications
- Familiarity with CRM/HRIS/billing integrations (e.g., HubSpot, Rippling).
- Prior involvement in designing billing architecture or data pipelines between CRM, billing, and accounting tools.
