The EFL Administrator will oversee communication and management of the EFL office at the centre. They will report to the Director of Studies and ensure that all phone and email communication is appropriately handled. In addition, they will take charge of several administrative duties and ensure that the office is well organised and a positive working environment is created.
It is the perfect job for those who are newly qualified or are in the process of gaining their teaching qualification and would like experience in an EFL Teaching department.

You’ll enhance communication through interactions with students, parents, staff, and agents, while gaining insight into EFL teaching by working with qualified professionals. The role builds expertise in administrative software for records, timetables, and exams, sharpens problem-solving and multitasking in a fast-paced environment, and provides knowledge of safeguarding policies. You’ll improve teamwork and leadership collaborating with diverse teams, develop cultural competency promoting inclusion, and experience the reward of creating safe, memorable student experiences.
Main roles and accountabilityYour role works closely with the Director of Studies (DoS) on administrative duties ensuring complete paperwork and efficient EFL department operations. You manage EFL office communications (phone / email) dealing politely with parents, agents, and staff while ensuring constant staffing during lessons and daily Head Office contact. You remind teachers to complete class profiles, weekly logs / plans, lesson plans, and progress tests, checking completion, liaise with Administrators for feedback distribution / analysis / resolution, record placement scores, and ensure end-of-week reports / certificates are added to student notebooks.
You set up teaching equipment (computers, printers, interactive whiteboards) via IT department liaison, prepare weekly classrooms reflecting "Exsportise School" brand with displays / stationery / materials, create EFL registers from Head Office data handling changes with DoS / administrators, manage optional exam logistics (logins / supervision / certificates), assist placement tests / invigilation / break supervision, maintain EFL records (incidents / complaints / fire drills), act as cover teacher if qualified, take minutes at staff meetings / CPD sessions, manage equipment / restocking / repairs / property sign-in / out, collaborate with welfare for wellbeing reporting concerns immediately, provide inventory reports, and support evening events when EFL lessons are morning/afternoon only.
Additional DutiesYou provide staff welfare / operations support, adhere to Staff Handbook and Centre Manager directives with professional conduct, assist camp setup / pack-down for smooth logistics, handle weekend student check-in / out including parents / passports / travel documents / pocket money secured safely, and perform other reasonable duties demonstrating flexibility.
