Role Overview

In this role you will develop strong organisational skills by managing schedules, coordinating departments, and ensuring smooth daily operations. Your communication skills will improve through regular interactions with students, parents, staff, and external agents, handling enquiries and resolving issues professionally. You will build expertise in administrative software and data management by maintaining records, scheduling timetables, and managing financial details like student pocket money and petty cash. This role sharpens your problem‑solving and multitasking as you handle unexpected challenges and prioritise in a fast-paced environment. You will gain knowledge of safeguarding and welfare policies to maintain a safe environment. Collaboration with teachers, coaches, welfare staff, and management enhances your teamwork and leadership experience. Main roles and accountability

As an Administrator, you work closely with the Centre Manager for efficient venue administration and daily Head Office contact, acting as first point of contact for students, staff, parents, and agents while handling queries politely and coordinating welfare for wellbeing. You manage office communications (phone, email, post) ensuring constant staffing, oversee student accommodation / room allocations per guidelines, create/maintain sports / music / EFL / boarding registers liaising with department heads, and handle financial records, petty cash, pocket money, and authorised purchases transparently.

You coordinate arrivals / departures meeting parents, managing travel documents and securing passports / valuables, keep records of meetings/incidents/complaints / health & safety / fire drills for compliance, analyse student feedback via questionnaires, organise excursions (transport, groups, finances, staff coverage, safety), maintain equipment inventory / restocking / repairs, and distribute company property like keys / walkie‑talkies. You serve as Group Leaders' liaison, ensure end‑of‑week reports / certificates for sports / music / EFL, uphold GDPR / data protection for sensitive information, utilise file storage/databases efficiently, and take notes/contribute at daily staff meetings on activities / welfare / operations.

Additional Duties

You provide staff welfare / operations support, adhere to Staff Handbook guidelines and Centre Manager directives with professional conduct, assist camp setup / pack‑down for smooth logistics, and perform other reasonable duties demonstrating flexibility.

Job Specific Personal Specification & Qualifications

To be suitable for this role, you have native or near-native competence in written and spoken English (minimum CEFR C1 level) for clear communication, are highly organised and detail-oriented with excellent time management to prioritise tasks efficiently, and adapt flexibly to working hours in demanding, fast-paced environments. You manage pressure well while maintaining accuracy and professionalism during busy periods, respond enthusiastically and sensitively to pastoral matters and diverse stakeholder needs, and liaise confidently with international students, parents, agents, and staff. You are proficient in MS Office (especially Excel) and Google Drive and demonstrate professional appearance, conduct, and language while representing the organisation. Your cultural awareness enables inclusive work with international students and multicultural teams, you remain trustworthy and discreet with confidentiality, embrace learning through feedback for ongoing development, and maintain a customer-focused mindset to deliver high service levels to all camp participants and stakeholders.
