About the role:
As an Events & Operations Coordinator, you will support the delivery of high-impact global events (70% of your role) and provide business operations support (30%). You will support the wider Events Operations team on delivering high-impact global events from concept to execution including client communications, supplier research and delivering integral elements of larger events such as signage, AV or sponsor collateral. The remaining 30% involves business operations support, including organising internal social events, office management and general operational tasks to ensure smooth day-to-day business functions.
You will report directly to the Senior Events Operations Manager on a day-to-day basis whilst also working closely with the HR Manager and Head of Event Operations on business operations related matters. With international travel, and broad exposure across the business, it's a dynamic, hands-on role for someone who thrives on detail, creativity, and collaboration.
Core Requirements:
- 1-2 years' experience in event coordination and/or office administration
- Good understanding of event processes and internal business systems is highly desirable
- Strong written and verbal communication skills; able to interact effectively with internal and external stakeholders
- Proficient in Microsoft Office (Excel, Word, PowerPoint) and experience with Salesforce or similar CRM systems is a plus.
- Strong organisation skills with the ability to prioritise tasks effectively and meet deadlines in a fast-paced environment.
- Ability to remain proactive, take initiative and work independently, while also being able to collaborate with the team when necessary.
- Adaptability to changing priorities and willingness to take on new tasks as the role evolves.
- Excited and willing to travel internationally and work outside standard business hours, as business needs dictate.
Key Responsibilities:
Events Operations
- Support event operations with ongoing and ad-hoc tasks, including delegate lists, websites, and internal coordination
- As the role develops, you'll take ownership of end-to-end delivery for specific event streams, award dinners, or key elements within larger events, as well as lead the delivery of a regional event, likely involving international travel 3-5 times per year.
- Source, contract, and liaise with venues and suppliers, including AV and networking add-ons
- Develop event branding and signage in collaboration with the event graphic designer (signage, handouts, badges, digital assets)
- Manage sponsor, partner, and delegate logistics and communications (including enquiries received to the operations inbox)
- Research and implement innovative ideas to enhance event experience and quality
- Represent the team in event meetings and collaborate cross-functionally to meet deadlines
- Respond to requests from senior leadership and support wider departmental initiatives
Business Operations
- Organise internal social events such as summer and Christmas parties, strategy days and ad-hoc team get-togethers
- Order office and kitchen supplies as and when needed
- Manage equipment and replacing as and when needed
- Ensure a clean and organised workspace.
- Liaise with key office suppliers (Cleaner, fire alarms, lights, AC, repair works - largely maintenance)
- Assist with onboarding and offboarding of staff
- Support with business related administrative tasks (such as checking and distributing post)
