Exeter City Swimming Club is looking for an organised, proactive, and people-focused Club Operations Manager to help lead the day-to‑day running of our growing club. This is an exciting opportunity to play a central role in supporting swimmers, families, coaches, volunteers, and the wider club community while helping shape the future of a thriving and ambitious swimming club.

The Club Operations Manager will oversee the smooth and efficient running of both the Swim Squads and Swim School, ensuring high standards of administration, safeguarding, communication, compliance, and operational delivery across the organisation. You will work closely with the Director of Swimming, Trustees, committees, coaches, volunteers, and teaching staff to ensure the club continues to deliver a positive and high‑quality experience for all members.

Key Responsibilities

  • Lead and coordinate the day‑to‑day operational running of the club
  • Oversee membership administration, onboarding, and member communications
  • Manage Swim England registrations and compliance processes
  • Coordinate training schedules, pool bookings, and facility access
  • Support the planning and delivery of galas, competitions, and club events
  • Recruit, schedule, and support lifeguards and swim teaching assistants
  • Maintain safeguarding, DBS, risk assessment, and compliance records
  • Support operational reporting, finance administration, and club systems
  • Handle enquiries from swimmers, parents, and members professionally and effectively
  • Work collaboratively with coaches, volunteers, committees, and Trustees

About You

We are looking for someone who has:

  • Strong organisational and administrative skills with excellent attention to detail
  • Experience coordinating operations, timetables, logistics, or administration
  • Strong communication and people skills
  • A proactive and solution‑focused approach
  • The ability to manage competing priorities and work independently
  • Experience supporting volunteers, teams, or customer‑facing environments
  • An understanding of safeguarding and operational compliance requirements

Desirable experience includes

  • Experience working within a swim club, sports club, or leisure environment
  • Knowledge of Swim England systems or SportsEngine Motion
  • Experience supporting events, competitions, or swim schools
  • Experience contributing to operational or financial reporting
