Key Responsibilities
- Coordinate the billing process in Practice Groups, liaising between lawyers and Practice Group support teams for invoice preparation and final issuance, working with the Revenue team as needed.
- Chase timesheets, remediate narrative time entries, process disbursements, edit bills, coordinate write‑offs and discounts, collate bills and narratives in final form per firm policy and process.
- Manage alternative pricing arrangements and cross‑border invoicing.
- Collaborate with Practice Operations Executives (PEs) and Practice Team Assistants (PTAs) for billing administration support throughout the cycle.
- Create pre‑bills, produce final invoices and bill cover letters, work with the Revenue and Matter Management teams on matter set‑up, and post final invoices to the system per firm policy and process.
- Provide support to the business ensuring a streamlined process for time capture, narrative edits, matter set‑up, and remediation from “ready to bill” through to invoice production.
- Use software, including firm applications like Timesheet Writer, as needed to manage the narrative remediation process.
- Draft and produce invoices, providing complete support throughout.
- Handle internal and external queries regarding invoices and the working capital profile, liaising with lawyers and the Revenue team.
- Ensure invoices are produced, submitted and collected in a manner appropriate for the firm and aligned with client requirements, facilitating payment with minimal queries and time delay.
- Coordinate with partners and associates regarding queried debts and unpaid invoices, escalating as required to the relevant Legal Project Manager for the matter.
- Execute ad hoc Legal Project Management (LPM) related tasks as required.
Qualifications, Skills and Experience
- 1–2 years of experience in a professional services environment within a PA or paralegal capacity.
- Excellent customer service orientation skills.
- Competent IT skills, good working knowledge of Word, Excel and Outlook.
- Experience with PowerBI or willingness to learn.
