Join Our Team as a Visa & Personnel Logistics Coordinator at Exceed. Exceed has an exciting opportunity for a Visa & Logistics Coordinator to join our team in Aberdeen on a full-time, 1 year fixed-term contract. Reporting to the HR Manager, you will be responsible for coordinating end-to-end immigration activities, supporting the timely international mobilisation of personnel across our operations. Working closely with employees, internal stakeholders, immigration authorities and external legal providers, you will ensure visa and immigration processes are managed efficiently and in full compliance with company policies, procedures and immigration requirements. This role offers the opportunity to play a key part in supporting our global workforce, ensuring personnel are mobilised effectively while maintaining the highest standards of compliance and accuracy.
Key Responsibilities
- Coordinate end-to-end visa and immigration processes to support the international mobilisation of personnel.
- Liaise with immigration lawyers, agents and authorities to facilitate visa applications and ensure compliance with immigration requirements.
- Monitor visa application progress, managing timelines and providing regular updates to stakeholders and clients.
- Maintain accurate records of visa expiry dates, renewals and compliance obligations, ensuring timely action is taken when required.
- Collate and submit supporting documentation for visa applications, following up on outstanding information where necessary.
- Conduct pre-mobilisation checks to ensure personnel have the necessary documentation in place for international travel.
- Create and maintain travel registers to monitor personnel movements and days spent in-country.
- Support travel arrangements and bookings in line with operational requirements and company policies.
- Respond to personnel and client queries relating to visa and immigration processes in a timely and professional manner.
- Provide general HR administrative support, contributing to HR projects, process improvements and team initiatives as required.
Experience & Skills
- Experience in a logistics or HR administration role.
- Energy industry experience preferred.
- Basic knowledge of HR processes and best practice.
- Excellent attention to detail and organisational skills.
- Strong communication and interpersonal skills.
- Ability to prioritise workloads and adapt to changing demands.
- A proactive approach to problem-solving.
- Proficiency in Microsoft Office applications, particularly Word, Excel and Outlook.
- Administration qualification preferable.
