We are looking for a professional, customer-focused Receptionist & Administrator to join our team.

This role is ideal for someone who enjoys working with people, takes pride in delivering exceptional customer service and can confidently manage a varied workload in a busy environment.

As the first point of contact for claimants attending our assessment centre, you will play a vital role in ensuring every visitor receives a positive and supportive experience.

The Role

You’ll be responsible for welcoming claimants, managing reception activities and ensuring assessments run smoothly by providing efficient administrative support to both claimants and healthcare professionals.

Due to the nature of the role, occasional travel to nearby sites may be required to support operational needs and maintain service levels.

  • What You’ll Be Doing
  • Providing a professional and welcoming front-of-house service for all visitors and claimants.
  • Greeting claimants and completing identity verification checks in line with company procedures.
  • Logging claimant arrivals onto the relevant customer systems.
  • Directing claimants to the appropriate Healthcare Professional for their assessment.
  • Maintaining reception and waiting areas to ensure they remain clean, organised and welcoming throughout the day.
  • Making courtesy calls to claimants ahead of scheduled appointments.
  • Assisting claimants with appointment rescheduling when required.
  • Managing interpreter bookings and arranging taxi transportation where necessary.
  • Photocopying and processing medical evidence in line with GDPR requirements.
  • Ordering and monitoring clinical and administrative stationery supplies.
  • Maintaining visitor and site sign-in records in accordance with Health & Safety requirements.
  • Supporting fire evacuation procedures and visitor coordination.
  • Recording daily management information and supporting reporting requirements.
  • Completing general administrative duties as directed by management.
  • Reporting issues, concerns or incidents promptly to management.
  • Completing all mandatory training within required timescales.

  • Previous experience in a reception, administration or customer-facing role.
  • Strong communication and interpersonal skills.
  • Excellent organisational skills and attention to detail.
  • Good IT skills including Microsoft Outlook, Teams, Word and Excel.
  • Experience handling sensitive or confidential information.
  • Ability to work independently and as part of a wider team.
  • Professional, friendly and approachable manner.
  • Strong administrative and data entry skills.
  • Flexible and reliable approach to work.

Desirable

  • Experience working within a healthcare, medical, insurance or assessment environment.
  • Awareness of disability and accessibility requirements.
  • Experience producing basic management information and reports.
