Being a portfolio group of Jonas Software (within Constellation Software Inc.), the Vesta Software Group Limited is all about strengthening businesses within the markets in which we compete and enabling them to grow – whether through organic measures such as new initiatives and product development, day-to-day business, or through acquisitions.

About the Role

We are seeking a dedicated Payroll Administrator to join our team on a full-time basis. We are an acquisitions-focused business, meaning we regularly acquire new companies. As a result, our payroll responsibilities continue to grow with each acquisition. Over the past year, the number of UK companies we manage payroll for has increased from 14 to 25, and this number is expected to continue rising.

To support this growth, we are looking for a Payroll Administrator who will help manage the current workload while supporting the payroll function as the business continues to expand. Your primary focus will be supporting payroll operations, ensuring payroll is processed accurately and efficiently, maintaining compliance with company policies and relevant regulations, and providing support to the wider payroll function. This role requires excellent attention to detail, strong organisational skills, and a solid understanding of payroll processes. This is a fantastic opportunity for an experienced Payroll Administrator to develop their career within a growing organisation.

Key Duties

  • Assist in the preparation and compliance checks of all payroll input data before submission to our payroll provider. This includes ensuring each submission request meets company policies and that the correct documentation and instructions have been provided by our HR partners. Where information is missing, you will liaise with the relevant stakeholders to obtain the required information prior to payroll cut-off.
  • Assist with the processing of monthly payroll to ensure employees are paid accurately and on time across our current portfolio of companies.
  • Maintain and update payroll records, including new starters, leavers, salary changes, and employee deductions.
  • Ensure accurate data entry and maintenance of employee information within payroll systems.
  • Support the administration of statutory payments, including SSP, SMP, and other payroll-related entitlements.
  • Respond to employee payroll queries in a timely and professional manner.
  • Assist in preparing payroll documentation and reports for internal stakeholders.
  • Perform initial validation checks of payroll preview reports, ensuring all submitted payroll inputs have been accurately processed by the payroll provider and that all requested changes have been completed prior to final payroll approval.
  • Manage payroll team communication channels with business unit leaders, ensuring queries are responded to and escalated where required.
  • Ensure all internal stakeholders adhere to payroll deadlines, following up on any missing submissions where necessary.
  • Update and maintain the payroll tracking system, ensuring there is a clear overview of the status of each payroll throughout the pay cycle.
  • Work collaboratively with our payroll service provider to resolve issues and ensure smooth payroll operations where required.
  • Collaborate with HR and Finance teams to ensure payroll data is accurate and up to date.
  • Maintain confidentiality when handling sensitive employee and payroll information.
  • Support general administrative tasks related to payroll operations.
