What You Will Be Doing (Key Responsibilities)
In this new role, you will be working closely with our Legal and Finance teams to ensure the smooth, compliant and timely conclusion of all residential property transactions from the point of exchange through to completion. Working in a busy fast-paced environment, this role requires exceptional attention to detail, strong organisational skills, and a proactive approach to managing all post-exchange formalities. You’ll be responsible for looking after conveyancing files from the point that contracts are exchanged up to the legal completion date. Key responsibilities will include:
- Final review of legal documents on the file, ensuring all are in order, have been signed correctly and remain in-date.
- Pre-completion searches have been conducted, including priority searches with Land Registry and bankruptcy checks on clients, as required.
- Confirming COT submission and release of funds with Lenders.
- Liaising with other firms within the chain to co-ordinate final completion logistics and ensure the same are in hand.
- Review of draft financial statements and bills for clients, ensuring all fees have been included and all relevant items have been correctly accounted for (such as redemption statements, estate agent invoices, management company statements).
- Review drafted SDLT returns and send to the Legal teams for approval.
- Preparation of completion packs and associated documentation for sign off in accordance with practice timescales.
- Liaising with Accounts to ensure awareness of completion dates, that all final balances are correct and all required documentation is in place for proceeds balances to be distributed on completion.
What We Are Looking For (Candidate Profile)
We are seeking candidates who have:
- Exceptional attention to detail and accuracy in document preparation and financial reconciliation.
- Strong organisational and time management skills, with the ability to manage multiple files and prioritise a busy workload.
- Excellent written and verbal communication skills for liaising with clients, solicitors, and third parties.
- Exceptional data entry skills, and high proficiency in IT systems, including the proven ability to quickly learn new software.
The following knowledge and attributes would be highly desirable, but not essential as full training will be given:
- Experience working within a residential conveyancing department, with a strong focus on post-exchange/post-completion work.
- Experience in using a Case Management System and online portals (HMRC, HMLR, Lender portals).
- Experience in dealing with post-completion formalities and submitting Land Registry Applications (AP1s).
