We are searching for an Executive Search Coordinator to join our growing Milton Keynes based team.
Who We Are & Why This Role Exists
We are an Executive Search Firm, operating at the sharpest end of quant, finance and technology recruitment. Five years ago, we entered one of the most competitive markets in the world with no brand, no inherited clients and no right to win. Today, we consistently outperform firms with decades of heritage.
The numbers:
- $400-$500k+ average production per head
- $100-$700k fee mandates
- Multiple seven-figure billers.
We didn't win by luck. We built by building a platform that compounds performance combining process, pressure and execution. Now, we're scaling that platform further.
About the Role
As an Executive Search Coordinator, you will sit at the core of our delivery engine — ensuring every search process between candidate submission and interview completion runs with speed, precision and control. This is not an administrative support role. You will take ownership of the interview process across a high-volume, high-value search desk, supporting a team of eight consultants operating in a fast-paced, deal-driven market.
From the moment a candidate is introduced to a client, you take control. You will operate across a desk where each consultant manages 5–10 active candidates per week, bringing structure, pace and consistency to that volume.
You will:
- Own interview coordination end-to-end — booking, confirming and managing logistics
- Take over all communication between clients and candidates' post-submission
- Be CC'd into all submissions and proactively manage next steps
- Chase availability, schedule interviews and manage calendars across time zones
- Ensure every candidate is fully prepared ahead of interviews
- Drive feedback loops with speed and clarity
- Flag risks, gaps or potential no-shows before they happen
- Act as the central control point across multiple live search processes
Your role is critical to maintaining momentum across the desk. You are not observing deal flow — you are enabling it. The goal is simple: Eliminate no-shows. Reduce delays. Improve client and candidate experience.
About You
You are highly organised, commercially aware and capable of operating in a fast-moving environment without losing control of detail. You don't wait to be told what to do — you anticipate what needs to happen next.
You will likely:
- Have experience within an executive search, recruitment or similar coordination environment
- Have managed processes or mandates from start to finish
- Be comfortable handling multiple priorities at once
- Understand how search and recruitment processes flow end-to-end
You are someone who:
- Takes initiative and doesn't get overwhelmed under pressure
- Is proactive and thinks ahead to prevent issues
- Follows process with consistency and discipline
- Takes pride in the quality and clarity of your work
- Communicates professionally, both written and verbal
- Is adaptable, resilient and solutions-focused
You'll be working across Outlook, Microsoft Teams, Atlas & Claude. You don't need to know everything — but you must be comfortable using technology daily and willing to learn quickly.
