We are seeking a proactive and detail-oriented Operations & Business Support Coordinator to join our team on a fixed-term basis. This role is critical in supporting day-to-day operational activities, ensuring transactions are processed accurately, issues are identified and resolved promptly, and key business processes continue to run smoothly.

The successful candidate will act as a central point of contact across multiple business functions, supporting operational monitoring, intercompany administration, issue resolution, and month-end support activities. They will play a key role in investigating and resolving process exceptions while building strong relationships with stakeholders across the organisation.

Responsibilities
  • Operational Monitoring & Issue Resolution
    • Monitor daily operational activities and workflows to ensure timely completion.
    • Manage and resolve exceptions relating to: goods receipting, invoice processing issues, source document and transaction errors and timesheet submissions and approvals.
    • Investigate discrepancies and coordinate actions to resolve issues.
    • Escalate critical issues where required and maintain ownership through to resolution.
    • Maintain accurate records of issues, resolutions, and outstanding actions.
  • Business Administration & Coordination
    • Support intercompany purchasing activities and related administration.
    • Coordinate intercompany invoicing activities and ensure required documentation is completed.
    • Monitor transaction flows and follow up on outstanding actions with relevant stakeholders.
    • Support month-end activities through data validation, reporting, and issue management.
    • Assist with maintaining accurate records and system data.
  • Stakeholder Management
    • Act as a key point of contact for operational queries across the business.
    • Liaise with colleagues at all levels, including operational teams, managers, and support functions.
    • Provide timely updates on issues, actions, and progress.
  • Reporting & Data Analysis
    • Utilise Excel to analyse data, identify discrepancies, and support issue resolution.
    • Produce and maintain reports to monitor operational performance and outstanding activities.
    • Support data validation and administrative activities as required.
Requirements
  • Previous experience in an operational support, business administration, customer service, shared services, or coordination role.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Good IT skills, particularly Microsoft Office.
  • Intermediate to advanced Microsoft Excel skills (XLOOKUP, Pivot Tables etc.).
  • Experience working with ERP systems (SAP ByDesign, SAP, Oracle, Dynamics, or similar).
  • Experience supporting operational or transactional business processes.
  • Proactive in identifying and resolving issues.
  • Confident communicating with colleagues at all levels.
