The Role
We’re recruiting Experience Day Operations Staff to join our team at Everyman Driving Experiences events. You’ll play a key part in delivering smooth, memorable days for our customers, from arrival to the final lap. You’ll receive full training across all seven core roles and rotate between them throughout events, keeping every day varied, fast-paced, and rewarding.
- Role 1: Sign-In & Welcome Team
- Prepare sign-in area with all required paperwork, payment tools, SD cards, stamps, price lists, and upsell materials
- Welcome customers professionally, check waiver and driving licence (expiry, validity, provisional rules), and sign them in on the master sheet
- Explain their itinerary clearly – time slots (30 mins), cars, laps/mileage, briefing location, flag system, demo laps first and passenger rides last
- Upsell extras and upgrades
- Take and record payments accurately, attach receipts to itineraries, log on Pay & Drive sheets, and obtain all required signatures
- Role 2: Customer Liaison Host
- Warmly welcome customers on arrival and guide them smoothly to the sign-in area
- Encourage and assist customers in sharing their experience by scanning QR codes to leave reviews, helping enhance the company’s reputation
- Act as the friendly point of contact throughout the day, checking in to ensure they are enjoying their experience and addressing any concerns
- Collect real-time feedback on what customers loved and areas for improvement
- Role 3: Event Experience Operations Support
- Set up desks, manage sign-ins, and ensure radios/Squares are tracked
- Ensure pits and media are prepared, photos/SD cards checked, and quality maintained
- Track sales per head, board timings, staff performance, and update day sheets with logistics or issues
- Complete Clerk Report, Instructor Mileage, Mechanic Day Sheet, cash up terminals, save/share all paperwork
- Resolve missing laps, footage, photos, or delays with EM, offer redrives or refunds, and document actions
- Role 4: Pit Lane Co-ordinator
- Prepare pit boards in advance by assigning instructors to cars and listing customer names with their driving sequence
- In the pit lane, greet customers, check their itinerary slip, confirm their drive time, note their sequence, and clearly explain wait times
- Call customers when ready, cross off names once they enter the car, and manage smooth flow throughout the session
- Record and take payment for any upgrades (with customer signature), and ensure premium upgrades are handled by a Pay & Drive/Platinum Instructor only
- If a car is unavailable, offer an alternative or rebook; complete a car swap form and obtain the customer’s signature to confirm agreement
- Role 5: Media Sales Executive
- Welcome customers, review itinerary and SD card, verify videos/photos, confirm playback and audio, and obtain signatures
- Find photos by QR number, ensure GDPR compliance, rename folders, print favourites, and transfer to SD cards or phones
- Log pre-paid items in Square and mark paperwork accordingly
- Wipe returned SD cards, complete stock sheets, and submit commission totals
- Role 6: Atom Strapper
- Atom coordinating follows the same process as Pit Lane, using the same paperwork, but with two staff: one manages the board/flag, the other straps customers in
- Secure customers by connecting all harness straps to the central buckle, tighten using the pull tags, and loosen using the release handle or by easing the straps at the metal clip
- Check itineraries for pre-paid extras and offer upgrades
- Take payment for upgrades, log them on the Pay & Drive sheet, and obtain customer signatures
- Role 7: Pit Lane Scanner
- Welcome customers in the pit lanes and provide a positive, professional first impression
- Scan QR codes on vehicles and customer tickets to accurately link experiences
- Ensure all scanned data is sent to the media team for photo and video processing
- Deliver excellent customer service and assist with any questions or issues during the scanning process
- Maintain accuracy and efficiency in a fast-paced, customer-facing environment
