Role and Key Responsibilities:
We have two roles available, working with our Legal Teams, one within the Commercial Advisory Practice Group (CAPG) resource management team and the other with the Corporate Finance Practice Group (CFPG) Resource Management team. You will support a variety of Resource Management requirements including work allocation for fee earners, reporting and analysis, process creation and maintenance. You will work with a variety of functions including HR, Finance and Recruitment as well as key stakeholders.
Key responsibilities include:
- Speaking regularly to the fee earners and understanding their work requests, supporting day-to-day resourcing requests and requirements.
- Managing relationships and expectations.
- Working alongside the Senior Resource Executives and Senior Resource Managers to support the expansion of Resource Management, specifically work allocation.
- Taking ownership of daily tasks within the team.
- Resource allocation; speaking to Partners and all levels of fee earners, finding resourcing solutions for new and existing matters as they arise.
- Following up with fee earners to ensure an understanding of their capacity.
- Keeping a log of resource requests, via Collaborate/High Q.
- Negotiating and problem-solving resourcing challenges as they arise.
- Reviewing and identifying suitable fee earners for cross-team projects, aiming to balance workloads.
- Informing individuals when they have been allocated to a matter.
- Preparing MI packs, various reporting and analysis as required.
- Taking the lead on specific projects as required.
- Updating Collaborate with resourcing request information.
- Updating fee earner information as required.
- Coordinating and planning for Trainee seat rotations.
- Encouraging adherence to process through matter chasing.
- Supporting with producing and collating data for surveys, newsletters, presentations and reports.
- Providing administrative support to the Senior Resource Executives and Senior Resource Managers with tasks including booking meetings, desks, parking and travel.
Skills and experience:
- Experience/knowledge of another law firm or professional services.
- Experience in Resource Management, in Legal Support (PAs, Team Assistants) or working in Business Services (HR or Marketing) would also be useful.
- Relationship building and negotiating skills are essential.
- Client and solutions-focused in everything you do.
- Ability to work in a fast-paced environment with challenging and ever-changing timelines.
- Attention to detail is key, along with the ability to prioritise, multi-task and manage high volumes of work while maintaining quality and accuracy.
- Providing excellent service and client/stakeholder delivery.
- Ability to manage own time effectively.
- Proactive, willing to challenge and have the confidence to identify and recommend changes and improvements.
- Fantastic organisational and administrative skills.
- Excellent communication skills, including high-quality written English, preparation of presentation decks and MI.
- Ability to think on your feet and look for solutions to challenges.
- Good IT and keyboard skills, particularly in the Microsoft Office suite, especially Excel and PowerPoint.
- Experience of working with other technology and/or Apps, work allocation related or otherwise, is advantageous.
