The purpose of the role is to provide a seamless and efficient onboarding experience for all candidates joining the firm across our UK and international offices.

A fantastic opportunity has arisen for a People Operations Administrator to join People Services within the People Operations team based in Birmingham city centre.

This is a hybrid role, with a current requirement of working 3 days onsite in the Birmingham office.

You will work as part of a professional and energetic team that is at a pivotal point of change, introducing new technology to enhance our HR service delivery.

To ensure full coverage and flexibility for our clients, this role operates on a rotating shift pattern.

You'll work across early (8:30am-4:30pm), mid (9:00am-5:00pm), and late (9:30am-5:30pm) shifts, providing variety in your working day while supporting a collaborative team environment.

Role And Key Responsibilities

You will work closely with internal and external teams so will need to have an excellent ability to manage relationships and expectations.

  • You'll be working on a variety of processes which will include and not be limited to:
  • Managing the onboarding process
  • Creating and issuing contracts of employment
  • Overseeing the onboarding journey from offer acceptance through to successful integration into the business.
  • Coordinating onboarding activities across HR, Payroll, IT, Facilities and hiring managers to ensure all necessary arrangements are in place and provide a seamless new starter experience.
  • Maintaining effective communication with candidates, line managers, and internal recruiters throughout the onboarding process, providing timely updates, managing queries via phone and email, setting clear expectations, and ensuring a consistent and positive onboarding experience.
  • Pre-employment screening
  • Coordinate and manage the end-to-end pre-employment screening process, including background checks, reference verification, qualification checks and other jurisdiction-specific requirements.

Monitor screening progress, follow up on outstanding actions and ensure all pre-employment requirements are successfully completed prior to the employee's start date.

  • Conduct Right to Work checks in line with immigration legislation and company procedures, ensuring all required documentation is obtained, verified, recorded and retained appropriately.
  • Supporting the People Operations team
  • Provide administrative support across various stages of the employee lifecycle as required.
  • Supporting ad hoc projects
  • Contribute to process improvements to enhance candidate experience and operational efficiency.

Skills And Experience

  • Experience of working in a high volume HR administration role, ideally in a professional services environment.
  • Ability to prioritise and manage high volumes of work, maintain quality and accuracy and provide excellent service delivery
  • Ability to put the employee experience at the heart of all tasks
  • Proactive, willing to challenge and curiosity to identify and recommend changes and improvements
  • Experience of working in a fast paced team, ideally in an international business
  • Excellent communication skills, including high quality of written English
  • Ability to think of creative solutions to challenges and adapt to stakeholder needs
  • Proficiency in MS Word and Excel
